Restraint Extract

Introduction

This extract reports the details of incidents involving the use of restraint against a student. The extract contains data for incidents that occurred within the district as well as incidents that occurred in and out-of-district setting. The Restraint Extract is required to be submitted to the Department of Elementary and Secondary Education at the end of each school year. This information is also required to be submitted as supporting information for the Restraint Injury Report (Coming for 2016/2017) that must be submitted to the state within three days of the incident when there was an injury sustained during the incident.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Log Entry Selection

The report selects records from the [LOG] table based on the following criteria:

  • The incident must have occurred on or between the report start date and/or the report end date.
  • The incident must be associated with one of the schools selected on the report input page when the report is run.
  • The log entry must be of Log Type "Restraint".
  • The log entry must not be excluded from state reporting.

Description

Select Schools

If run at the district level, choose one of the following:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.
  • All Schools – Run the report for the entire district.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Select Students*

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current student selection from the currently selected schools.
  • All students – Run the report for all students who meet the selection criteria in the currently selected school(s).

Note: If running the report for a single student, or group of students, select the students prior to running the report.

Report State Date*

Enter the report start date.

Report End Date*

Enter the report end date.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyyor mm-dd-yyyyin order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10:05 AM.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Note: The report output will be an XML file with an xls extension. Older versions of Excel may not be able to open the file. Newer versions of Excel will be able to open the file, but will give the following warning:

"The file format and extension of Restraint_YYYYMMDDHHMM.xls don't match. The file could be corrupt or unsafe. Unless you trust its source, don't open it. Do you want to open it anyway?"

It is safe to answer Yes and open the file using Excel. The file should then be saved as a true Excel file prior to submitting the output to the state.
