LA EdLink Courses

Introduction

This report extracts Course Offering and Student Schedules data in the format required to be submitted to the EdLink warehouse.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records. Use PowerSchool's Remote Connection Management feature to set up a SFTP connection to allow for automatic uploading of files to EdLink.  Use with the report's scheduling feature to set up a recurring upload of files to EdLink.

Student_Schedules

School Selection

The report selects records from the [Schools] table based on the following criteria:

  • The school must not be excluded from State Reporting.
  • If running the report for a sub-district, the school must be assigned to the sub-district.

Student Selection

The report selects records from the [Students] table based on the following criteria:

  • The student must not be excluded from State Reporting.
  • A record is created for each class the student is registered in, including any cross-enrollments.

Section Selection

The report selects records from the [Sections] table based on the following criteria:

  • The section must not be excluded from State Reporting
  • The section must not be marked as Duplicate Non-LEA Class.

Course_Offerings and Course_Offerings_Ext

School Selection

The report selects records from the [Schools] table based on the following criteria:

  • The school must not be excluded from State Reporting.
  • If running the report for a sub-district, the school must be assigned to the sub-district.

Section Selection

The report selects records from the [Sections] table based on the following criteria:

  • The section must not be excluded from State Reporting.
  • The section must not be marked as Duplicate Non-LEA Class.


Student Marks

School Selection

The report selects records from the [Schools] table based on the following criteria:

  • The school must not be excluded from State Reporting.
  • If running the report for a sub-district, the school must be assigned to the sub-district.


Student Mark Selection

The report selects records from the [Stored_Grades] table based on the following criteria:

  • The student must not be excluded from State Reporting.
  • The section must not be excluded from State Reporting
  • The stored grade must have a course number and section specified and must not be excluded from State Reporting
  • The stored grade must not be associated with a reporting term that is flagged as Exclude Reporting Term from Student Marks Extract on the Final Grades Setup page.
  • Stored grades records must have a mark of A, B, C, D, E, F, N, P, S, or U. Other marks or blank marks are not included as records in the file.

Description

Select Schools

Indicate which schools to include in the report by selecting from the following options:

If sub-districts are not enabled:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.
  • All Schools – Run the report for the entire district. Only available when running the report from the District Office.

If sub-districts are enabled: 

  • Select Sub-district – Select sub-districts to include in the report. To select a single sub-district, click that sub-district. To select multiple schools, use Ctrl+Click and select each sub-district to be included.
  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.
  • All Schools in selected sub-district (default) – Run the report for all schools in the selected sub-district. Includes all student records on the PowerSchool server that meet the selection criteria. Only available when running the report from the District Office.
Select Students

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [number] Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

If you are running the report for a single student, or a group of students, select the students before running the report. Selection by Student is only applicable when generating the student_schedules extract.

Output File NameSelect the extract to generate.
Select School YearSelect the school year for which to run the report. The options are controlled by the Term currently selected by the user.
Identify as a Partial File

Select Enabled to create and submit an EdLink file containing only a subset of the students without overwriting the complete file or another partial file. This field is unchecked by default.

As a partial file, the file name will have '_partial' plus a unique number added to the name to ensure each file is unique when it is uploaded to EdLink.

SFTP connectionsIf the extract is to be automatically uploaded to EdLink, select the SFTP connection that has been defined for reporting to EdLink.

01 – Louisiana Virtual School courses
02 – 8g Satellite courses
03 – Other Distance Learning
