IL EL Screener

Introduction

The IL EL Screener report extracts EL students who are active since the beginning of the current school year specified by Term. It is used to create a data file of EL Screener information to submit to the ISBE SIS.

The report format is comma-delimited (CSV) with a .txt extension. If a student field is blank for a mandatory field, the field default is used in the extract. If a student field is blank for an optional field, the field is blank on the extract.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

For the IL EL Screener report, records for EL students who are active since the beginning of the current school year are selected.

The Extract Viewer link is available on the State Reports page in the description area for the IL EL Screener report. The Extract Viewer can be used as a troubleshooting tool.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.
  • The school must not be excluded from state reporting.

Student Selection

The IL EL Screener report selects information for currently enrolled students who are marked as LEP using the following criteria:

  • The student must not be excluded from state reporting.
  • The student must have active enrollment records.
  • Student EL records have an EL Screener Test Taken Date that is between the Screener Test Taken Start Date and the Screener Test Taken End Date of the report.
  • When Test Taken Prior to Enrollment is set to Include, students with Screener Test Taken Date that falls between the reporting date range will be included even if they were not enrolled when the Screener Test was taken.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to runningreport.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyyor mm-dd-yyyyin order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2011 @ 10:05 AM.

Select District

(Optional) If this option appears, select the District for which to run the report.

Screener Test Taken Start Date

Enter the first test date in the range of dates used to select the students who took the EL Screener test.

Screener Test Taken End Date

Enter the last test date in the range of dates used to select the students who took the EL Screener test.

Test Taken Prior to Enrollment

Select Include or Exclude; Include is the default value.

  • Include – student with Screener Test Taken date which falls within the reporting date range will extract, regardless of whether or not the student was enrolled on the Test Taken date.
  • Exclude – student with Screener Test Taken date which falls within the reporting date range will extract only if the student was enrolled on the Test Taken date.

RCDTS Number

Enter the 15-digit RCDTS (Region, Country, District, Type, and School) number.

Note: If running the IL EL Screener for the entire district, the RCDTS number entered must match the RCDTS of the IWAS login of the user submitting the file.

The value entered in this field will be used in the file name and the header in the report results and is not used in any selection criteria.

Run For

Choose one of the following from the pop-up menu:

  • LEP Only –Include only students with the Limited English Proficiency status set to Yes.
  • All Students – Include all students.  All Students is the default value.

Run from the Extract Viewer

Choose one of the following from the pop-up menu:

  • Yes – This processes the extract from the extract viewer.
  • No – Select No when running any extract for the first time.  No is the default value.

Note: If you select No, the data is the extract viewer is replaced with the data from the extract.

State ID (ISBE SIS Assigned Student ID#)

This field contains the student identification code assigned to each student in your district by the Illinois State Board of Education (ISBE). This field should be blank for all students upon first submission of the student.

Legal Last Name

This field contains the legal last name of the student. This field is extracted from the EL / Screener tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > EL / Screener.

If the Legal Last Name field is left blank, the student’s last name entered on the Demographics page is used in this field.

Legal First Name

This field contains the legal first name of the student. This field is extracted from the EL / Screener tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > EL / Screener.

If the Legal First Name field is left blank, the student’s first name entered on the Demographics page is used in this field.

Birth Date

Home RCDTS (Student Level)

This field contains the Region, County, District, Type, School (RCDTS) code which uniquely identifies the student’s home school. This field is extracted from the EL / Screener tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > EL / Screener.

If left blank, the RCDTS Home School entered on the Edit School page is used in the report.

Grade Level At Time of Screener

This field contains the grade level of the student at the time the student took the EL Screener test.
