IL Detention Center Report

Introduction

Use the IL Detention Center report to submit Detention Center collection data to the ISBE SIS. The batch import file must conform to the order and data type listed in the table below with exception to the Result Code and Result Message fields. The Result Code  and Result Message fields will be appended to each record by the ISBE SIS system for the batch export file. Refer to the ISBE SIS Data Elements document for the approved codes and definitions.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records

Student Selection

The report selects which student records to use based on the following criteria:

  • Students must be enrolled within the school year as per the user-defined report date. 

  • Students must have a Detention Center record added

  • This report only includes students who are included in State Reporting.

  • This report only includes students whose enrollments are from schools which are included in State Reporting.

Use

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to runningreport.

RCDTS Number (Override)

Enter the 15-digit RCDTS (Region, Country, District, Type, and School) number.

The value entered in this field will be used in the file name and the header in the report results.

Report Start Date

Enter the start date for the reporting period.

Format: MM/DD/YYYY

Report End Date

Enter the end date for the reporting period.

Format: MM/DD/YYYY

Run from the Extract Viewer

Choose one of the following from the pop-up menu:

  • Yes – This processes the extract from the extract viewer.
  • No – Select No when running any extract for the first time.

Note: If you select No, the data in the extract viewer is replaced with the data from the extract.

Report Output

File Naming Standard: RCDTS or District Name+_ + Date(mmddyyyy) +_+ File Identifier.txt

               1-B Total number of records in the import file, not including the header row
               1-C File Name including extension Name of import file being sent to ISBE SIS. Note: Must match actual file name to meet upload validation.
               1-D File Sent Date Date file is sent to ISBE SIS (mm/dd/yyyy)
               1-E RCDTS Your 15 digit District RCDTS code Note: Format is 111111111111111

State Student Identifier (ISBE SIS Assigned Student ID#)

This field contains the student identification code assigned to each student in your district by the Illinois State Board of Education (ISBE). This field should be blank for all students upon first submission of the student.

This field is extracted from the Demo tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > ISBE SIS Student Demographic/Enrollment Information.

PowerSchool Student Number / SAP ID

This field contains the PowerSchool student identification code. This field is extracted from the Early Child tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > ISBE SIS Early Childhood Information.

Legal Last Name

This field contains the legal last name of the student. This field is extracted from the Early Child tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > ISBE SIS Early Childhood Information.

If the Legal Last Name field is left blank, the student’s last name entered on the Demographics page is used in this field.

Legal First Name

This field contains the legal first name of the student. This field is extracted from the Early Child tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > ISBE SIS Early Childhood Information.

If the Legal First Name field is left blank, the student’s first name entered on the Demographics page is used in this field.

Birth Date

This field contains the student’s birth date. This field is extracted from the Early Child tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > ISBE SIS Early Childhood Information.
