IL Attendance Audit

Introduction

The IL Attendance Audit report is used to split student attendance data by enrollment type for those students who are promoted to the next grade level or who transfer to different schools within the specified date range. Attendance views and Attendance Conversions are used in the calculation of attendance days.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

For the Illinois Attendance Audit report, student enrollment records are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.
  • The school must not be excluded from state reporting.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student must not be excluded from state reporting.
  • The student must be actively enrolled at some time between report start and report end dates.
  • The student’s current enrollment must not be excluded from state reporting.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to runningreport.

Select District

(Optional) If this option appears, select the District for which to run the report.

Grades

Select which grades to include in the report.  Leave all checkboxes cleared to include all grades.

Start Date

Enter the start date for the reporting period. Students are included if they are/were enrolled at any time between Start and End Date.

Format: MM/DD/YYYY

End Date

Enter the end date for the reporting period. Students are included if they are/were enrolled at any time between Start and End Date.

Format: MM/DD/YYYY

Students to Include

Choose one of the following from the pop-up menu:

  • Claimable and Non-Claimable Students
  • Claimable Students Only
  • Non-Claimable Students Only

Run in Validation Mode

Choose one of the following from the pop-up menu:

  • Yes (default) – The report searches for any data errors that could impact attendance calculations. If there are no errors found, the report extracts the IL Attendance Audit report. If errors are found, the error report displays.
  • No – The report processes without looking for data errors. No error report displays.
