EL - School Year 2017

Introduction

The EL – School Year 2017 report extracts EL students who are active since the beginning of the current school year specified by Term.

The report format is comma-delimited (CSV) with a .txt extension. If a student field is blank for a mandatory field, the field default is used in the extract. If a student field is blank for an optional field, the field is blank on the extract.

00/00/0000 is extracted for a mandatory date field without a defined value. These fields are:

  • Date First Enrolled in District
  • Date Student Enrolled or Reenrolled for EL

Optional date fields are left blank on the extract if there is no defined value for that field. These fields are:

  • Date EL Services Ended

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

For the EL – School Year 2017 report, records for EL students who are active since the beginning of the current school year are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.
  • The school must not be excluded from state reporting.

Student Selection

The EL – School Year 2017 report selects information for currently enrolled students who:

  • Are marked as LEP on the EL/Screener tab of the state/province page. 
  • The student must not be excluded from state reporting.
  • The enrollment for the student must not be excluded from state reporting.
  • The student has a current, active enrollment record on the test administration date ([S_IL_STU_ELL_X]Date_Test_Taken), entered at Student Selection > Illinois State Information > ISBE SIS EL.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyyor mm-dd-yyyyin order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2011 @ 10:05 AM.

Select District

(Optional) If this option appears, select the District for which to run the report.

RCDTS Number

Enter the 15-digit RCDTS (Region, Country, District, Type, and School) number.

The value entered in this field will be used in the file name and the header in the report results.

Note: If running the EL – School Year 2017 for the entire district, the RCDTS number entered must match the RCDTS of the IWAS login of the user submitting the file.

Report Output

Each of the fields displayed in the output of the report are described below. See  Understanding the Report Output Table for a definition of each column in the table.

State Student Identifier (ISBE SIS Assigned Student ID#)

The student identification code assigned to each student in your district by the Illinois State Board of Education (ISBE). This field should be blank for all students upon first submission of the student.

Legal Last Name

The legal last name of the student. This field is extracted from Start Page > Student Selection > Illinois State Information > EL / Screener.

If the Legal Last Name field is left blank, the student’s last name entered on the Demographics page is used.

Legal First Name

The legal first name of the student. This field is extracted from Start Page > Student Selection > Illinois State Information > EL / Screener.

If the Legal First Name field is left blank, the student’s last name entered on the Demographics page is used.

Birth Date

RCDTS Home School Number (Student Level)

The Region, County, District, Type, School (RCDTS) code which uniquely identifies the student’s home school. This field is extracted from Start Page > Student Selection > Illinois State Information > EL / Screener.

If left blank, the RCDTS Home School entered on the Edit School page is used in the report.

Date First Enrolled in District /LEA

The month, day, and year the student enrolled in the district/LEA (Local Educational Agency) for the first time. Extracted from Start Page > Student Selection > Illinois State Information > EL / Screener.

This field is required. If a value is not defined for this date, 00/00/0000 is extracted for the report.

First Year in United States

The amount of time a student has been in the United States.

Yes displays if the First Year in United States field on the Pre-ID tab is set to Yes—Student in US less than a year (01).

No displays if the First Year in United States field on the Pre-ID tab is set to No—Student in the US for more than a year (02).

EL Placement-Entry Status

Identifies the student’s status for receiving EL Services. Extracted from Start Page > Student Selection > Illinois State Information > EL / Screener.

Enrolled or Re-enrolled date for Receive EL Services (mm/dd/yyyy)

The date the student enrolled to receive EL Services in your district or if the student exited from the EL Services before and has re-entered the EL Services for the current school year. Extracted Start Page > Student Selection > Illinois State Information > EL / Screener.

This field is required. If a value is not defined for this date, 00/00/0000 is extracted for the report.

Date EL Services Ended (mm/dd/yyyy)

The date the student stopped receiving EL Services during the current school year. If the student is still receiving EL Services and will continue next school year, this field is blank. This field is extracted from the EL / Screener tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > EL / Screener.

This field is optional. If a value is not defined for this date, the field is left blank on the report.

Reason For Ending EL Services

For each student with a Date EL Services Ended, indicates the reason the student no longer receives EL services. If the student is still receiving EL Services, this field is blank. This field is extracted from the EL / Screener tab of the Illinois State Information page, Start Page > Student Selection > Illinois State Information > EL / Screener.
