  1. On the Start Page, click the School link at the top of the page.

  2. Choose District Office.

  3. Click District.

State Course Code

Enter the unique code assigned by the ISBE to identify a state course. This unique code consists of three parts:

  • Subject Area

  • Course Identifier within that Subject Area

  • State-generated alphanumeric identifier

For example the course State General Math I is coded as 02002A000, where 02 represents Subject Area Mathematics, 002 represents the Course Identifier, and A000 represents the State Identifier.

If this option accessed from the District Information, User could customize the tabs for all schools in that district. This setting will over -write any updates done to the tabs at the school level, after giving a warning message

If this option is accessed from School info page New/Edit School, User can customize the tab for this particular school.

Known Issue: If the Customize Student Information Tab is updated at School level to lesser number of tabs, then reset at District level with All tabs. It works fine

But now when the user goes to back to Customize Student Information tab at School level, he will see all tabs selected and if he doesn't click on submit, then the previous configuration stays. User once opens this page should click on submit.

CRDC Report

Define Letter Grade Mapping

Navigation: Letter Grade Mapping

Use the Letter Grade Mapping option to map each PowerSchool grade to its respective state-required letter grade. The mapped values are used to determine which state-required grade is extracted when the IL Course Assignment extract is generated.

You must complete this page for each unique grading scale used in your district/school before generating the IL Course Assignment extract.

To create a new record, follow these steps:

  • On the Letter Grade Mapping page, select the Edit link next to the Grade Scale Name or, if no mapping exists for a Grade Scale, select the New button to open the New Mapping page. If a mapping exists, the New button will not function as only one mapping is allowed per grade scale. Use the Edit link to modify the existing mapping record.

  • In the From PowerSchool Grade column, hold down the Ctrl key and click each PowerSchool letter grade that corresponds to the value shown in the State Value/Description column. For example, for Code 01 (A), you could select Superior (A) and Super Superior (A+).

  • When all state grade values are mapped, select the Submit button to save the mapping.

Define Term Grade Mapping

Navigation: Term Grade Mapping

Use the Term Grade Mapping option to map the state-required Term Period to its respective PowerSchool store code and Term ID for each school in your district. The mapped values are used to determine the grades extracted when the IL Course Assignment and IL Teacher Course Assignment extracts are generated.

You must complete a Term Grade Mapping for each school in your district before generating the IL Course Assignment or IL Teacher Course Assignment extract.

To create a new record, follow these steps:

  • Select Edit next to the School for which the mapping will be defined.

  • Terms already defined display on the Illinois Term Grade Mapping page. To add a mapping record:

    • Click New.

    • In the PowerSchool Term field, choose the term length for a course such as 20xx – 20xx for year-long courses or Semester 1 for first semester courses.

    • In the Store Code field, enter the store code that identifies the set of grades (final grade) to be extracted for a student that took a course in this term.

    • In the State Term field, choose the state-required term period that correlates to the store code and PowerSchool Term.

    • Enter a term Start Date and term End Date corresponding to the PowerSchool Term. The Start and End Dates for the year-long terms are used to “divide” the year long term courses into the terms required by ISBE: Term 1, Term 2, Term 3, Term 4 or Term 5. For example, one mapping record might be for Term 1 (typically Fall) for the year long term with Start and End dates that match your Semester 1 dates. For K-8, the term Start and End Dates are used when extracting the appropriate CC table records for current classes.

      For year-long terms in grades K-8, enter one record representing the enter year and assign it to a term such as Term 1. For year-long terms in grades 9-12, enter one record using Term 1 start and end dates, then another record for Term 2 start and end dates.

  • Select the Submit button to save the data and add the record to the list.

  • Continue this process for each term that has a grade awarded that should be reported to the state.

  • To modify an existing mapping, click the Edit link.

Note: For the OCA/SCA report, enter a Store Code for terms containing final grades that should be reported. Blank values are not mapped for the OCA/SCA report. Blank values are mapped for the TCA extract.

Select a district-level gifted test option. The option selected will be the default for all schools in the district. If there is a school that has an exception to the option selected here, you can select an override option on the Schools/School Info > Edit School page. If there is a student exception, that exception can be set on the IL Gifted tab.

Grade Level PDA Setup

Navigation: District Setup > Schools/School Info > [select school] >school page, under IL State Reporting.

Clicking the link will open a new page displaying all applicable grade levels for the school, along with their respective Percent of Day Attended (PDA) Override values. You can add, edit, or delete these values as needed.

Navigation: Start Page > District Setup > District Info > Enable Restraint/Time Out in Teacher Portal

Enable Restraint/Time Out in Teacher Portal

Select the checkbox to enable the Restraint/Time Out page in the PowerSchool Teacher portal. If an incident occurs that warrants restraint and/or time out, teachers can then add an entry detailing the occurrence. Once an entry is submitted, teachers will need to contact an administrator to edit or delete the entry.
