Student Demographics

Introduction

The Student Demographics report generates a comma separated (.CSV) file containing one record for each student enrolled during the collection period. This report is processed at the district-level for state reporting submission. The option to process for selected students or for a single school is provided for troubleshooting purposes only.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Students Selection

The report selects records from the [Students] table based on the following criteria:

  • The student’s school exit date must occur after the report start date.

  • The student’s school entry date must occur on or before the report end date.

  • The student’s school exit date must occur after their school entry date.

  • The school must not be excluded from state reporting.

  • The student must not be excluded from enrollment reporting.

Description

Select Schools

Choose one of the following:

  • Current School Only – This option is for troubleshooting purposes and Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – This option is only available when running the report from the District Office. Includes all student records on the PowerSchool server that meet selection criteria.

Select Students

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.

  • All students – Run the report for all students in the current school or district that meet the selection criteria.

If running the report for a single student, or group of students, select the students prior to running report.

Start Date

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy for the first day of the report date range.

End Date

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy for the last day of the report date range.

Include Audit Fields

Choose Yes to include additional fields used for troubleshooting to identify data that may need to be modified prior to submitting the report to the state.

The default option is No.

Validate Data

Choose No to validate only whether the records meet the selection criteria listed above. The report returns a validation error if any of the selection criteria is not met.

Choose Yes (the default) to validate all data.

Check the box if this is EOY submission

Select to indicate the report is the EOY submission.

Report atRisk for*

Indicate which students to include in the report by selecting one of the following options:

  • Only Students in Alternative Schools – At Risk values of Y are only reported if applicable checkboxes are selected and the student is enrolled in an alternative building. All other student's atRisk values are blank or N.

  • All Students – At Risk values of Y or N are reported for all students in the appropriate grade range (6-12)
