Public School Information System (PSIS) Report

Report Description

The Public School Information System (PSIS) was developed by the Connecticut State Department of Education (CSDE) in 2002 to comply with federal law H.R.1, No Child Left Behind Act of 2001, which requires the need for student-based data. PSIS also provides a statewide individual student identification database.

This report can be run at the school or district level.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] or [ReEnrollments] table based on the following criteria:

  • The student must not be excluded from state reporting.
  • The student must have a school enrollment record which starts before the report ADA/ADM End Date and ends after the report ADA/ADM Start Date.
  1. The end date of the school enrollment must be greater than the start date.
  2. The start date of the enrollment must be less than or equal to the Enrollment Snapshot Date and the end date of the enrollment must be equal to or greater than the Enrollment Snapshot Date

Description

Select Schools

If run at the district level, choose one of the following:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.
  • All Schools – Run the report for the entire district.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Select Students

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Enrollment Snapshot Date

Enter the data you want the report to use for enrollment level data. This value determines which enrollment record to use for point in time data from either Students or Reenrollments.

ADA/ADM Start Date

Enter the date you want the report to use as the start date for calculating attendance and membership data for each student.

ADA/ADM End Date

Enter the date you want the report to use as the end date for calculating attendance and membership data for each student.

Display Headers?

Choose Yes or No from the drop down menu to determine whether to display header fields in the extract. Headers display the name of each data element for each record extracted. Use headers for troubleshooting purposes.

Extract Format

Choose whether to extract the records in comma-delimited format for troubleshooting purposes or in positional format for submission to the state.

Note: For fields which are historically tracked, there may be multiple stored values. If so, the output reports the value from the most recent Effective Date that occurs on or before the Enrollment Snapshot Date.

Facility Code 2

For a student who attends two facilities, enter the second school attended by that student. You must enter this field if one of the following is true:

  • The special program code assigned to this student requires that the student attend another school on a part-time basis.
  • The student attends a part-time magnet school or vocational agriculture classes through a shared-time arrangement.

PreK Program Status Code

If the student is enrolled in a pre-kindergarten program, this is the student’s specific program or combination of programs.

  • This field only extracts a value if a student's grade level is PreK or lower.
  • If the field PreK KG Grade Code is blank but the students grade level is -1, PreK Program Status Code extracts 'PK'
  • If the field PreK KG Grade Code is blank but the student grade level is -2 or below, PreK Program Status Code extracts 'P3'

Note: If the ‘PreK Program Status Code’ on the student’s PreK/Kdg tab is set to ‘Not Pre-Kindergarten’, which is stored as a blank, it will default and output the code set in the field ‘Default Value of PreK Program Status Code’ in the school record associated with the student.

Length of PreK Program Day in Hours

If the student is enrolled in a pre-kindergarten program, this is the amount of time the student spends in that program. Values are rounded to the nearest 15-minute increment.

If a value is entered for the student in the “Length of PreK Program Day in Hours” field (State/Province – CT page), then that value is extracted. Otherwise, the default value for the school is extracted from the Schools/School Info page.

Number of PreK Program Days per Year

If the student is enrolled in a pre-kindergarten program, this is the number of days per school year that the student spends in the program.

Migrant

A value of “Y” is reported if the student qualifies as a migrant student. The student must be from a family that is identified as having moved within the past 36 months across state or district boundaries to obtain temporary or seasonal employment in agriculture, fishing, or related food processing activities.

The number of instructional days that the student is enrolled in the school during the current school year.

Membership days begin accruing on the student’s first date of enrollment for the current school year and end with the report end date.
