Student - Demographic Data 20-21


Introduction

This export provides the required records for the Student Profile Interchange Requirements – Student. The report will output all students who are enrolled for the current year only from July 1 through the date the report is run. Students will only appear once per extract at the school of the last enrollment.

This report should only be run for Individual Schools for auditing purposes. The report should be run for all School or for the District for submission.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] table based on the following criteria:

  • The student is not flagged as Exclude from State Reporting.
  • The school is not flagged as Exclude from State Reporting.
  • The student’s Entry Date is on or after July 1 of school year selected.
  • The student’s Entry Date is on or before the date the report is run (system date).
    Note for CSI Schools Only: Student records that have the same entry and exit date, and that are designated with exit code 11 (Transfer to a public school in the same school district) are excluded.
  • If a date is specified at runtime in the optional “Point in Time Date” parameter, only students enrolled on that date will be reported.
  • If there is no lunch status for the selected date, the current status is extracted.
  • If Point In Time and Lunch Status Date are provided, then the students with the respective statuses for the selected dates display.
  • If either Point In Time or Lunch Status Date is provided, then the status for the provided date displays for both parameters.
  • If neither Point In Time nor Lunch Status Date is provided, then the students are extracted regardless of their enrollment status, except pre-registered students, and the lunch status as of the current date.

Description

Select Schools*

Select one, all, or a selection of Schools. A school selection will only be offered at District Office. When running at a school, only that school will be available.

Select Students*

Indicate which students to include in the report by selecting one of the following options:

  • The Selected x Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

If running the report for a single student, or group of students, select the students prior to running the report.

Point in Time

OPTIONAL – Enter a date to report information from a specific point in time. The date entered must be within the year selected. Only active students on that date will be reported.

Lunch Status Date

OPTIONAL - Select the date to display the student's lunch status.

  • The lunch status date selection does not affect the report's selection criteria, when Point in Time is entered or blank.
  • If a student has a lunch status history record with a status that is applicable as of the lunch status date, that value should pull.
  • If a student does not have a lunch status history record that is "active" as of the lunch status date, the current status should pull.
    • Students that enroll in school up to 5 days after the count date can be reported (claimed). In this case, if the lunch status date is 10/1/2020, a student that enrolls on 10/3/2020 will not have a lunch status history record that is active on 10/1/2020. In this case, the student's current status should be reported.

Primary Disability

A 2-digit code representing the student’s Primary Disability. If the student has more than one disability, the code number reported must be that of his or her major disability, as reflected on the student’s Individualized Education Program (IEP).

A student's English language proficiency is described by his or her ability to speak, listen, read, and write in English. English Language Learners (ELL) must have an English Proficiency rating entered (1, 2, or 3) and non-ELL students must be coded as 0 or 4. Former English Language Learners are coded as 5.

Post-Secondary Program Enrollment

Colorado Law provides for high school students to apply credit earned at post-secondary institutions toward high school graduation as well as a post-secondary degree or certificate.

Eligible students must not be more than 21 years old, must be enrolled in grades 9-12 at a Colorado public school district, and must have given written notice to the resident school district of intent to enroll at least two months prior to such enrollment.
