Student Needs Export

Use this report to export student needs-related data by school/district for a selected school year (fiscal year 2006 and later).

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records based on the following criteria:

  • The student must be enrolled in the school during the school year selected at report runtime.
  • The student must have a 011, 012, 013, 014, 015, or 021 record during the school year selected at report runtime.

Report Input

To generate the Student Needs report, do the following:

  1. On the Start Page, click Reports. The Reports page appears.
  2. Click the State tab. The State Reports page appears.
  3. Click Student Needs Extract (Fiscal Year 2006 & After). The Report Using Engine page appears.
  4. Enter information in all of the required fields.
  5. Click Submit to generate the report.

Description

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Choose one of the following from the pop-up menu:

  • The selected x students only – Run the report for students in the current selection.
  • All Students (default) – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to runningreport.

Destination

Choose one of the following from the pop-up menu:

  • Browser – Open the report results within the internet browser.
  • Save as Local File (default) – Save the report results as a file on your hard drive.

Processing Options

Choose a time to run the report from the pop-up menu:

  • Execute Now – Execute the report immediately.
  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyyor mm-dd-yyyyin order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Select District

If this option is displayed, select a District from the pop-up menu.

School Yearterm

Choose the school year from the pop-up menu.

Include Student Demographic Detail

Select the checkbox to include student demographic data in the extract, including date of birth, gender, and ethnicity.

Check to include 011 Needs

Select the checkbox to include 011 Need records in the extract.

Restrict 011 to this need code(s)

Enter need code(s), comma-separated (without spaces), to limit the type of 011 Needs records included in the extract.

Check to include 012 Assessments

Select the checkbox to include 012 Assessment records in the extract.

Note: As offiscal year 2008-2009, 012 transactions are not generated for SAIS.

Restrict 012 to this assessment code(s)

Enter need code(s), comma-separated (without spaces), to limit the type of 012 Assessment records included in the extract.

Check to include 013 Language Programs

Select the checkbox to include 013 Language Program records in the extract.

Restrict 013 by this type

Choose Need Code or Program Code from the pop-up menu to specify the type of code you would like to enter to limit the types of 013 Language Program records included in the extract.

Check to include 014 SPED Services

Select the checkbox to include 014 SPED Service records in the extract.

Restrict 014 by this type

Choose Need Code or Service Code from the pop-up menu to specify the type of code you would like to enter to limit the types of 014 SPED Service records included in the extract.

Enter need or service code(s), comma-separated (without spaces), to limit the type of 014 SPED Service records included in the extract.

Check to include 015 Support Programs

Select the checkbox to include 015 Support Program records in the extract.

Choose Need Code or Program Code from the pop-up menu to specify the type of code you would like to enter to limit the types of 013 Language Program records included in the extract.

Check to include 021 Initial IEP

Select the checkbox to include 021 Initial IEP records in the extract.

Note: IEP information is no longer transacted to ADE. Historical data remains intact but past and future transactions are not generated.

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

  • Language Program Code for 013 records
  • SPED Service Code for 014 records
  • Support Program Code for 015 records

Primary Nighttime Residence

Primary Nighttime Residence is required for a need code of Homeless in fiscal year 2007 and forward.

Grade Level

The student’s grade level while enrolled in the 014 SPED Service program.

Grade level for SPED Services is stored in PowerSchool independent of the student’s school enrollment grade level. If a correction to the school enrollment grade level is required, it is necessary to correct grade level for the appropriate SPED Services. SAIS began validating SPED and enrollment grade levels in fiscal year 2005.

CTDS ID

The receiving school CTDS, i.e. the school of choice the student attends.

This field is required when reporting a Transportation/School Choice support program.

Note: As of fiscal year 2008-2009, 012 transactions are not generated for SAIS.
