Student Information

This report produces student demographic and course enrollment information for submission to the JTED. The report includes each student enrolled in a JTED course taught at a member district. The JTED and the member district together receive up to 1.25 ADM (membership) for the student, depending on the number of instruction minutes provided. The report results are produced in tab-delimited format. The report runs for the current school only and cannot be run district-wide.

This report will always report a student’s highest ranked (lowest number) JTED Course Enrollment, as determined by the JTED Section Ranking page, when reporting JTED Section Enrollments. For example, if a student is enrolled in a JTED class, but then later in the year is enrolled in a higher ranked JTED class while still attending the lower ranked JTED class, the report will report an ‘exit’ for the lower ranked class (with an exit date equaling the school day before the date of enrollment in the new class), then report a new enrollment in the higher ranked class.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

The report selects records from the [Students] table based on the following criteria:

  • The student must be enrolled in the current school.
  • The student must not be excluded from state reporting.
  • The student’s grade level must be between 9 and 12.
  • The student must have “Yes” selected for “JTED Student Indicator” on the Transfer Info page for a school enrollment that occurs during the report dates.
  • The student’s school entry date must occur on or before the report end date.
  • The student’s school exit date must occur on or after the report start date.
  • The student’s school exit date must occur after the entry date (excludes no-shows).

The report selects records from the [Sections] and [CC] table based on the following criteria:

  • A student who meets the criteria above must be enrolled in the section.
  • The student’s section entry date must occur on or before the report end date.
  • The student’s section exit date must occur on or after the report start date.
  • The student’s section entry date must occur after the section exit date.
  • The section must be associated with a term that occurs within the report date range.
  • The section must be marked “Yes” for “JTED Section Led by a CTE Instructor.”

Note: If the student is enrolled in more than one JTED section, then the section with the highest ranking is reported for the student. See JTED Section Ranking for more information.

Report Input

To generate the report, do the following:

  1. On the Start Page, click Special Functions. The Special Functions page appears.
  2. Click Interfaces to other systems. The Interfaces to Other Systems page appears.
  3. Click JTED. The JTED – Arizona’s Joint Technical Education District Ranking and Reporting page appears.
  4. Click AZ Student Information Report. The Student Information Report page appears.
  5. Enter information in all of the required fields.
  6. Click Submit to generate the report.

Description

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Start Date

Enter the start date for the report.

End Date

Enter the end date for the report.

Display Header

Choose one of the following from the pop-up menu:

  • Yes – Choose this option to display the name of each data element in the first line of the report results.
  • No – Choose this option to omit the first line with data element names.

JTED File Format

Choose one of the following from the pop-up menu:

  • Standard Format (FY13) – Choose this option to output the results using the FY13 file specifications
  • Standard Format (Pre-FY13) – Choose this option to output the results using the original file specifications (FY12 and prior)
  • Pima County Format – Choose this option if reporting to the Pima County JTED

Bypass Validation

Choose one of the following from the pop-up menu:

  • Yes – Choose this option to force the report to validate for data conditions known to cause the report to fail.
  • No – Choose this option to bypass validation.

Exit Date

The student’s exit date for the section enrollment. This should be the date that either the student exited the JTED section, or the JTED indicator on their school enrollment was changed to No.

In order for attendance to calculate correctly, a student’s course exit date needs to be the day after his last day. JTEDs require the student’s actual last day in class to be reported, so the report extracts the most recent in session day in the school calendar that occurs before the exit date.

Note: If the student’s school exit date occurs before the student’s section exit date, then the report extracts the student’s school exit date.

Exit Date is calculated in instances where the student is enrolled in two different overlapping JTED classes with differing start dates and Section Rankings, ensuring that the student’s highest ranked JTED enrollment is always reported. (See JTED Report Descriptions)

Report Validation

See the below for possible validation error messages and recommended correction steps.

Validation Error

Description

Course.Section (Course Name) has a duplicate section rank of nn for the year

Indicates that the section listed has a duplicate section ranking.  Each section in a school must have a unique section ranking.

Update a section’s ranking using the JTED Section Ranking screen. (See JTED Section Ranking for more information)

Course.Section (Course Name) has an invalid JTED Indicator Value (value).

Indicates that the section has an invalid JTED Indicator Value.  The valid values for the JTED_Indicator field are:

  • 1 (Yes)
  • 0 (No)
  • Null

Update a single section’s JTED_Indicator field by navigating to the section, choosing the correct ‘JTED Section Led by a CTE Instructor’ value, then submitting the page.

Update multiple section records using DDA (usm). Valid database values are either 0,1, or blank (null).

Student (Student Name) has an invalid JTED Indicator Value (value).

Indicates that the student enrollment record has an invalid JTED Indicator Value.  The valid values for the JTED_Indicator field are:

  • 1 (Yes)
  • 0 (No)
  • Null

Update a student’s JTED_Indicator field by navigating to the student Transfer Info screen, choosing the appropriate enrollment record, selecting the correct JTED Indicator value, then submitting the page.

Update multiple student records using DDA (usm). Valid database values are either 0,1, or blank (null).

Student (student name) has duplicated (value) race code on StudentRace record ID:nnnnn

Indicates the student has duplicate StudentRace table records.  A student may have more than one race code, but cannot have duplicates of the same race code.  For example, a student may have WH and BL but cannot have WH and WH.

Update a student’s race codes using the Student Demographics screen. Uncheck the duplicate race code, submit the demographics screen, then re-check the race code and submit the screen.
