This category captures information about staff members and their associated schools. The Staff Demographics category includes the following data views and resources:

Staff Demographic

This view captures the core demographic record for teachers and staff as published in the Staff entity within the StaffAssociation interchange. For each staff member in the district in the current year, the layout provides the School Name, Teacher Number, Staff Name, Date of Birth, Stakeholder ID, Unique Person ID, Last Published Date, and the Publishing ID.

Each staff member must first have an assigned Unique Person Identifier (Unique ID) in order for the staff record to be published; if needed, use the Request button to initiate the assignment of any missing Unique IDs. In turn, the publishing of all other staff-related Ed-Fi data is dependent on the successful publishing of the staff record; as needed, use the Publishing Errors data view to identify and resolve any issues.

LEAs and Schools can also review pending and published Ed-Fi reporting data for individual staff members from the staff AzEDS Publishing page, accessed from Staff > Information > AZ State Report Information > AzEDS Publishing.

Staff

This entity represents an individual who performs specified activities for any public or private education institution or agency that provides instructional and/or support services to students or staff at the early childhood level through high school completion. This entity is required for all Staff and Teachers.

Selection Criteria

Records are published if the following criteria are met:

StaffUniqueId must be populated in PowerSchool.
The staff member must not be excluded from state reporting.
The staff member's school must not be excluded from state reporting.
The staff member is not designated as Lunch Staff.
The staff member is currently active or taught a section during the year for the term selected in the PowerSchool UI.

Entity Output

A single Staff record is published for each staff member in the district who meets the selection criteria.
Local staff number is output in the StaffIdentificationCode complex type.
The Staff entity is not dependent on the prior publishing of other Ed-Fi entities.
LEAs and Schools may upload (publish) data to the ODS in real time or on demand ("Run Now" button).

Staff Assignment

This view captures the current year staff assignments for district administrators, school administrators, counselors, and teachers as published in the StaffEducationOrganizationAssignmentAssociation entity within the Staff Association interchange. The layout includes the School Name, Teacher Number, Staff Name, Date of Birth, Stakeholder ID, and Unique Person ID, along with the assignment Begin Date, Staff Role, Last Publish Date, and the Publishing ID.

This entity indicates the education organization to which a staff member provides services; also known as school of service. This entity is required for all Staff and Teachers.

Selection Criteria

Records are published if the following criteria are met:

The staff member has been published in the Staff entity.
StaffUniqueId must be populated in PowerSchool.
The staff member must not be excluded from state reporting.
The staff member must have a user role that is mapped to an Ed-Fi staffClassification or must have taught a section during the year for the term selected in the PowerSchool UI
The staff member's assigned organization must be either the district office or a school that is not excluded from state reporting.
The staff member is not designated as Lunch Staff.
The staff member is currently active or taught a section during the year for the term selected in the PowerSchool UI.

Entity Output

A separate StaffEducationOrganizationAssignmentAssociation record is published for each district or school assignment for each staff member and teacher based on the year for the Term selected in the PowerSchool UI.
A staff member with assignments at multiple schools will have a record for each school.
A staff member with multiple mapped roles at a school will have a record for each role.
A default record with staffClassification "Teacher" will be published for staff members at each school where they taught one or more sections without a teacher role assignment
The Education Organization reported within this entity is either the district (LEAId) or the school (SchoolId).
The StaffEducationOrganizationAssignmentAssociation entity is dependent on the prior publishing of the following entities: Staff.

Staff Unique ID Status

This view does not have a corresponding Ed-Fi entity, but captures the current status of Staff Unique IDs. Whenever staff data are published to the state ODS, the Ed-Fi process checks for the presence of a Staff Unique ID, and automatically requests a new ID for any staff member who is missing one.

For each staff member in the district in the current year, the layout provides the School Name, Teacher Number, Staff Name, Date of Birth, Stakeholder ID, Staff Unique ID, Status, Last Published Date, and the Publishing ID. The Staff Unique ID Status column displays one of the following: Unassigned, Still Requesting, or the Staff Unique ID for assigned IDs.
