CTE Enrollment Report

The CTE Enrollment Report reports student section enrollments in the school they enrolled in on count date.

The CTE enrollment Report extracts section enrollment information active on the snapshot date where the section is flagged as Vocational at the Course level.

Collection Periods:

  • 1 – Fall Term

  • 2 –Spring/Summer Term

File Format:
Non-Articulated - Section enrollments from the current school are included where the section's Site Location School ID field is blank.
Articulated - Section enrollments for remote schools (student is taking a vocational class at another school) and section enrollments from sections where the Site Location School ID is not blank are included.

Selection Criteria

The report selects records from the [CC] table based on the following criteria:

  • The student is not excluded from state reporting ([Students]State_ExcludeFromReporting does not equal 1)

  • The student is enrolled in a Vocational Course ([Courses]Vocatonal = 1) on the 40th or 100th school day (according to the parameter selected)

  • Non Articulated File:

    • The section enrollment's ([CC] table record) has a schoolID equal to the student's home school schoolID (i.e: not enrolled in a class at another school)

    • The section enrollment's section has a blank 'Site Location School ID (CTDS)' field.

    • Include all enrollments in a Vocational class that are active on the 40th or 100th school day (according to the student's track) where:

      • The 'Site Location SchoolID is blank and the section's schoolID is the student's home school

    • Do not report class enrollments where the section's schoolID is not the student's home school.

  • Articulated File:

    • The section enrollment ([CC] table record) has a schoolID NOT equal to the student's home school schoolID (i.e: the student is enrolled in a class at another school).

    • The section enrollment's section has a value in the 'Site Location School ID (CTDS)' field.

    • Include all enrollments in a Vocational class that are active on the 40th or 100th school day when selected (according to the student's track) where:

    • The section's 'Site Location SchoolID is not blank and the section is at the home school (the school being run for)

    • The class enrollment is for a remote section (include section enrollments where the section's school ID is not the student's home school.)

  • The student's course enrollment is not ‘Excluded From AZ Student-Teacher-Course Connection Reports’ ([CC]AZ_ExcludeSTC does not equal 1).

  • The section is not excluded from state reporting ([Sections]AZ_ExcludeSTC does not equal 1).

  • The section’s associated course is not excluded from state reporting ([Courses]AZ_ExcludeSTC does not equal 1).

  • The School that the section is associated with is not excluded from state reporting ([schools]state_excludefromreporting does not equal 1).

  • The school number associated with the section is not 999999 or 0.

Use

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. The CTE Enrollment Report reports students section enrollments in the school they enrolled in on count date.

    • To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Students to Include

Select one of the following:

  • The Selected [number] Students Only – Run the report for students in the current selection.

  • All Students (default) – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Collection Period

Choose one of the following from the pop-up menu:

  • Snapshot date

Snapshot Term

Displayed when the Snapshot reporting option is selected

Choose the snapshot term; uneditable by default; required if enabled

  • Fall Term

  • Spring/Summer Term

Snapshot Date 

Displayed when the Snapshot reporting option is selected

Enter the snapshot date; uneditable by default

If the Snapshot Date parameter is selected:

  • The report includes all CTE enrollments active on snapshot date

    • CTE class enrollment dates overlap snapshot date, taking into account that users exit students from class the day after their last in class

      • ie: cc.exitdate = snapshot date means the student was not enrolled on snapshot date

  • The report pulls a Term column value equal to the value selected for Snapshot Term

School CTDS

Enter the County Code-Type Code-District Code-Site Number of the school of residence.

File format

 Choose one of the following from the pop-up menu:

  • Articulated – Produces an articulated file.

  • Non-Articulated – Produces a non-articulated file.

  • CTED Central Campus

  • CTED Community College

High School Schedule

Indicate the number of weeks the class is taught by choosing one of the following from the pop-up menu:

  • 5 – Divide the total number of calendar days by 5.

  • 4 – Divide the total number of calendar days by 4.

Store Code

Enter the store code used to record Earned Credits in the class (comma delimited) for the collection period.

  • Example: Enter S1 when running for the 40 Day and S2 when running for the 100 Day.

 Enter the store code used to store earned credit hours for 40th and 100th-day enrollments.
