Community College Export

Use this report to export community college related data by school/district for a selected school year.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] table and the virtual table [AZ_CommunityCollege] based on the following criteria:

  • The student must be enrolled in the school during the school year selected at report runtime.
  • The student must have a 020 community college record during the school year selected at report runtime.

Report Input

To generate the Community College Export report, do the following:

  1. On the Start Page, click Reports. The Reports page appears.
  2. Click the State tab. The State Reports page appears.
  3. Click Community College. The Report Using Engine page appears.
  4. Enter information in all of the required fields.
  5. Click Submit to generate the report.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Choose one of the following from the pop-up menu:

  • The selected x students only – Run the report for students in the current selection.
  • All Students (default) – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to runningreport.

Destination

Choose one of the following from the pop-up menu:

  • Browser – Open the report results within the internet browser.
  • Save as Local File (default) – Save the report results as a file on your hard drive.

Processing Options

Choose a time to run the report from the pop-up menu:

  • Execute Now – Execute the report immediately.
  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyyor mm-dd-yyyyin order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Select District

If this option is displayed, select a District from the pop-up menu.

School Yearterm

Choose the school year from the pop-up menu.

Include Student Demographic Detail

Select the checkbox to include student demographic data in the extract, including date of birth, gender, and ethnicity.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

SAIS Student Number

The student’s SAIS ID.

Student Number

The student’s locally assigned identifier.

Last Name

The student’s last name.

First Name

The student’s first name.

DOB

The student’s date of birth.

Note: This field is included in the extract if the checkbox for “Include Student Demographic Detail” is selected at report runtime.

Gender

The student’s gender.

Note: This field is included in the extract if the checkbox for “Include Student Demographic Detail” is selected at report runtime.

Ethnicity

The student’s ethnicity.

Note: This field is included in the extract if the checkbox for “Include Student Demographic Detail” is selected at report runtime.

School Name

The school supporting the student’s community college enrollment.

[Schools]Name

College Entity ID

The Community College Entity ID.

Entry Date

The date the student began attending the community college (for the given fiscal year). For community college, the entry date may be outside of the current school year term dates.

Exit Date

The date the student quit attending the community college (for the given fiscal year). For community college, the exit date may be outside of the current school year term dates. This field is not required.

The number of classes the student attends at the community college.
