Attendance Audit Information

This report produces a list of student absences for JTED sections. As required by the JTED, the Attendance Audit report results must be signed by a teacher and kept on file for auditing purposes. The report results are broken down by teacher and should be viewed in an internet browser window. The report runs for the current school only and cannot be run district-wide.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] table based on the following criteria:

  • The student must be enrolled in a section taught by a teacher selected at report runtime. The section must be marked “Yes” for “JTED Section Led by a CTE Instructor.”
  • The student must have “Yes” selected for “JTED Student Indicator” on the Transfer Info page for a school enrollment that occurs during the report dates.

Attendance Selection

The report selects records from the [Attendance] table based on the following criteria:

  • The attendance record must be associated with a student included in the report.
  • The attendance record must occur during the report dates.
  • The attendance record must be associated with an attendance code that is marked “absence” for Presence Status.

Report Input

To generate the report, do the following:

  1. On the Start Page, click Special Functions. The Special Functions page appears.
  2. Click Interfaces to other systems. The Interfaces to Other Systems page appears.
  3. Click JTED. The JTED – Arizona’s Joint Technical Education District Ranking and Reporting page appears.
  4. Click AZ Attendance Audit Information Report. The Attendance Audit Information Report page appears.
  5. Enter information in all of the required fields.
  6. Click Submit to generate the report.



Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Start Date

Enter the start date for the report.

End Date

Enter the end date for the report.


Choose the teachers to include in the report. Hold the Function or Apple key to select multiple teachers. The teachers in the list appear based on whether “Yes” is selected for the “JTED Section Led by a CTE Instructor” for sections assigned to the teacher.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

School Name

The name of the current school.



CTD Number

The district number.




Teacher Name

The name of the teacher assigned to the section.



[Sections]Teacher = [Teachers]ID


Teacher ID

The teacher number entered in the ID field on the Edit Staff Information page.




The dates of the report, as entered at report runtime.



Course – Section

The course and section number, separated by a dash.




Course Title

The name of the course.




The period during which the section is taught.



Student Name

The name of the student.





The student’s SAIS ID.




The date of the absence record.



Absence Code

The attendance code associated with the absence record.


[Attendance]Attendance_CodeID = [Attendance_Code]ID


Signature Line

A line provided for the teacher to authorize that the attendance information is correct.
