District Setup

Introduction

The following data elements are required for provincial reporting.

To perform district-specific tasks:

  1. Click the School link at the top of the page. The School pop-up menu appears.
  2. Choose District Office. The district Start Page appears.
  3. Under District, click Setup.

The following information describes the setup required for Provincial Reporting. For information about general school setup, see Help > System Help.

Diploma course defaults to blank; however Yes or No must be selected.

Career Technology Studies

Choose the Career Technology Studies value from the pop-up menu.

Valid values:

  • CTS – Header (H)
  • CTS – Module (M)
  • CTS – None (N)
Create one CTS Header course and one CTS Module course for each teacher/lab that is offered at the district. The CTS Header course is used for scheduling and attendance. Typically, a CTS Header course is created for each strand offered. For CTS Header courses, set the Diploma Course field to blank to exclude them from provincial reports.

Enter the district name.

Enter the district number. Use district number for authority code.

Changing the district number requires a restart of the system.

CTS Validation

School Number

Enter the school number. The number must contain 4 numeric characters.

It is recommended that you use the School Code provided by Alberta Education. This field is numeric and therefore strips the leading zero from your school code.

Alternate School Number

Enter the alternate school number, if applicable. The number must contain 4 numeric characters. If this field is blank, then the school number is reported; otherwise, the alternate school number is reported.

Enter the Alberta Education School Code if the School Number field is not the same as the Alberta Province.

School Type

When set to Active, indicates that the school actively synchronizes Student Demographics and Enrollment information with PASI. This is required for School by School setup only.

The valid values are:

  • Active
  • Inactive
  • Closed
  • Graduated
  • Future

Last PASI Initial Synchronization

Indicates the date and time when Initial Synchronization was last run for this school. This is required for School by School setup only.

Course Marks Integration Status

When set to Active, indicates that the school actively synchronizes School Course Marks with PASI. This is required for School by School setup only.

The valid values are:

  • Active
  • Inactive

Batch School Setup

Navigation: Start Page > District Setup > Batch School Setup

Run SetupScroll down to the bottom Batch School Setup page and click Run Setup.

Source School for Years and TermsChoose the school to use as the source for pushing years and terms to other schools.

This refers to AKA student extension fields that some districts use to pull the preferred name of the students for legacy reports. If this option is selected:

  • The student's preferred name will be populated along with the AKA fields.
  • The name fields in the new table S_AB_STU_NAME_C will be populated.
  • The name fields in the students table will be populated.
  • The student extension AKA fields will also be populated.

If this option is not selected, then the AKA fields will be populated with the preferred name only if the legal name and preferred name are different.
