K - Special Education Programs File 2024-2025

Introduction

The Student Special Education Programs includes one record for each student enrollment in a Special Education Program during the current school year. If a student enters, exits, and re-enters the Special Education Program, there should be two records to reflect the two enrollments.

Many Education records are not loading into CEDARS due to the error "SpecEdPrograms.ExitReasonCode must be 1, 2, 3, or 4." Use the following methods to avoid this error:

  • If a student receiving Special Education services exits your district, leave both the Special Education Exit Date (Element K08) and the Special Education Exit Reason Code (Element K09) blank unless the student has stopped receiving Special Education services for one of the four valid values listed in Exit Reason Code before exiting your district.

  • If a student receiving Special Education services exits a school and re-enrolls into another school in your district, change the Location ID (Element K05) of the Special Education record to reflect the new school at which the student is receiving Special Education services.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis of report results when the report does not return the correct records.

Special Education Program Selection

The report selects program enrollment records from the [S_WA_STU_SpecialEducation_C] table that occurred during the current school year, based on the following criteria:

  • The Program Start Date must be on or before the last day of the current school year.

  • The Program Start Date must be on or before the current date.

  • The Program End Date must be on or after the last day of the current school year, or the Program End Date must be blank.

  • The Program Start Date must be before the Program End Date.

  • The student must have a school enrollment within the current school year.

  • The student's school Entry Date must be on or before the current date.

  • The student must not be excluded from State Reporting.

  • The student must not be excluded from CEDARS reporting.

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet the selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

The All Schools option is only available when running the report from the District Office.

Current Selection Students

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [Number] Students Only – Run the report for students in the current selection.

  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

If you are running the report for a single student, or a group of students, select the students before running the report.

School Year

Choose the year for which to run the report.

Scheduling

Select Schedule to run the report on a specific date and time. The default selection is "Run Now."

K - Special Education Programs File Exit Date Logic

Select from the following:

  • Report Actual Exit Date - The report displays the actual exit date of the student.

  • Report the Day Before Exit Date - The report displays the date which is one day before the actual exit date of the student.
