PSSR-2291862020 LEP/EL Special Programs Year End Process Automation Updates

The LEP/EL Special Programs Year End Process Automation is updated to ensure quality data for the submissions. All previous functionality is maintained, and the following new items are implemented.

  • All open records from all previous years are now closed.
  • The Alternative Language Program element, which was new for the 2019-20 school year, is now copied forward.
  • The Dual Language Immersion elements, which were new for the 2019-20 school year, are now copied forward. The Dual Language Immersion Year value is incremented by 1 unless the existing value is 00 or 05.
PSSR-2270432020 PEIMS General Year End Process Automation Updates

The PEIMS General Year End Process Automation is updated to ensure quality data for the submissions. All previous functionality is maintained, and the following new items are implemented:

  • All open records from all previous years are now closed.
  • New records are created for all students with a school enrollment in the new year, including pre-registered students who were previously excluded from the automation.
  • The obsolete Dyslexia indicator in the PEIMS General record is not carried forward.
  • The T-STEM Override, ECHS Override and P-Tech Indicator Overrides are cleared for all students
  • All State Grade Level overrides are cleared for the new school year.
PSSR-2295102020 Year End Process Automation Updates for Various Special Programs and Staff Fields

The following new year end process functionality is provided.

  • A new preference is added to the District Information page labeled "Enable Career Tech Record Automation in Year End Process". When this option is selected, all open Career Tech Special Program records are closed; new records are not opened.
  • All open Special Program records for all previous years are now closed for Pre-K, Economic Disadvantaged, Gifted and Talented, Special Ed, Title I, PRS, Intervention and 504 as long as the respective preference is checked in District Setup. New records are opened where applicable per the previous functionality.
  • A new preference is added to the District Information page labeled "Increment Years in Staff Fields in Year End Process". When this option is selected, the values in the Years Experience in District (E0161) and Total Years Experience (E0130) fields are incremented by 1 during the Year End Process.
PSSR-227126Add Year End Process Automation for Dyslexia Special Programs

A new preference has been added to the District Information page labeled "Enable Dyslexia Automation in Year End Process". When this option is selected, all open Dyslexia Special Program records are closed during the Year End Process, and new records are created for students returning to school in the new year. Existing values from the Dyslexia Special Program are carried forward.

PSSR-229184Campus/District Summary Report Updates

Campus Summary: Version 1.0.10
The following updates are available:

  • Bilingual/ESL Funding Codes
    The Campus Summary Report is updated to calculate and display the Bilingual/ESL Funding Code for records that qualify for weighted funding. The report code uses similar logic as already implemented in the PEIMS Student Attendance Interchange and Student Detail Report.
    • These codes are based on a combination of the student's Bilingual, ESL or Alternative Language Program, and the corresponding Parental Permission Code.
    • Support for non-LEP students enrolled in the Bilingual Dual Language Immersion/Two-Way program is also added under the D2 funding code category.
  • Flexible Attendance
    The report is updated with similar logic as implemented in the Attendance Interchange to no longer calculate Special program days based on the sum of minutes divided by the Program divisor. Instead, special program days eligible are based on the number of days where the student participated in a special program while also enrolled in the flexible attendance program.
  • Additionally, a new parameter is added to allow the user to select the categories of attendance to include: all attendance, regular attendance only, or flexible attendance only.
PSSR-231998EOC Status Page Updates

A new panel named "Current EOC Status" is added to the EOC Status tab in the Graduation Information area.

  • The first five columns of this new panel display the read-only EOC Status for the student for Algebra I, Biology, English I and II and US History using the same logic as in the AAR.
  • Additional columns are added to present important details
    • Minimum Score: This represents the minimum score(s) required for students using substitution assessments to fulfill EOC requirements. If the student has passed by substitution based on an AP or IB Performance Acknowledgment record, the minimum score displays as 3 or 4 respectively.
    • Earned Score: This represents the score(s) earned by the student for the substitution assessment as stored in Test Scores. If the substitution has been entered manually, this column displays "Manual Substitution".
    • Waiver Type: This represents the reason the student earned a waiver for this subject area. This column displays "Grades: Explain Code 3" if the student has earned the required credits in the subject area and the grade record for the final part of the class has an explanation code of "3". If the waiver has been entered manually, this column will display "Manual Waiver".
    • Credits Earned: This represents the total credits earned for the student in each subject area for each EOC class with the appropriate Service ID for that subject area.

Texas Individual Graduation Profile Report: Version 1.0.1
The Texas Graduation Profile Report and Texas Individual Graduation Profile Report are updated to implement EOC Substitution Assessment and Waivers logic so that the output conforms to that of the AAR. A new EOC "Status" column is added for each of the EOC subjects to display similar details as on the AAR including the Performance Level achieved, Substitution Assessment, or Waiver. A Signature Line with Date Is also now included at the bottom of the Individual Graduation Profile Report.

PSSR-235711Master Schedule and Student Enrollment Interchange Updates

TX Interchange Student Enrollment: Version 1.0.47
The Master Schedule Interchange is updated for the ECDS collection to correctly report the PK-Curricula code rather than the TSDS description of the code. The Master Schedule is additionally updated for the PEIMS SUMR collection to accurately report the parts of courses when at least one student has completed each part of the course and to not report parts that do not have at least one student completing the course part.
The Student Enrollment Interchange is updated to report the Course Sequence element with a leading "D" based on the dual credit indicator for course, section or stored grades record.

PSSR-234594New COVID-19 Crisis Codes and PEIMS Summer Student Interchange Updates

TX Interchange Student: Version 1.0.28
Data collection for the new COVID-19 Crisis Codes is implemented on a new "Crisis Codes" page accessible from the State/Province - TX link.

  • A new COVID_19_CRISIS_CODE field is added to the S_TX_STU_X student extension table. This table supports easier data collection as values can be imported or mass-assigned using the Student Field value function.
  • The new Crisis Codes page presents a dropdown list with the following options:

The PEIMS Student Interchange is updated to include the COVID-19 Crisis Code.

  • Obsolete crisis code runtime parameters are removed from the reports page.
  • The TX-CrisisIndicator is output directly after the TX-EconomicDisadvantaged element in the xml file.
  • Crisis Code Logic:
    • If a student is enrolled on the final day of school and has a COVID-19 Crisis Code value, the code is output.
    • If a student is enrolled on the final day of school but has no Crisis Code value, the element is suppressed entirely.
    • The element is also suppressed for any student who withdrew from the district prior to the last day of school
  • Important: The existing Crisis Code field in the PEIMS General record will not be used this year. All students enrolled on the final day of school must be coded using the new field.
PSSR-229514PEIMS General Record Automation Updates for New Enrollments During the Year

PEIMS General Record Automation is updated with the following changes:

  • PEIMS General records are now created immediately for pre-registered students to allow users to begin coding records right away. The PEIMS General Entry Date is auto-populated as the student's enrollment date.
  • A new district preference is added to District > District info: "Override default ADA code to 0 for EE/PK students (otherwise ADA code defaults to 2)". If this option is selected, students enrolling in any grade level lower than kindergarten will receive an ADA Eligibility Code of 0 instead of 2.
PSSR-233304Move PEIMS General Code Sets to PS Common Code

Dropdown lists for the PEIMS General fields are removed from the HTML page and added as references within the PS_Common_Code database table. This supports ease of ongoing maintenance as new codes can be added and old codes can be expired without requiring page updates. In addition, districts creating custom reports can now reference the codes and descriptions directly from the database.

  • Fields with new PS_Common_Code Entries
    • ADA Code (E0787)
    • As-Of Status Override (E1002)
    • Unschooled-Asylee/Refugee (E1076)
    • Unaccompanied Youth Status Code (E1084)
  • Additional Updates
    • The As-Of Status Code override now uses Select Code as the default option
    • Unaccompanied Youth Status Code (E1084) now filters the codes based on Entry Date
    • (Do Not Use) text is removed from obsolete codes, which are now conditionally displayed or hidden based on the record date.
PSSR-233503Move State Information Code Sets to PS Common Code

Dropdown lists for the various Texas fields are removed from the HTML page and added as references within the PS_Common_Code database table. This supports ease of ongoing maintenance as new codes can be added and old codes can be expired without requiring page updates. In addition, districts creating custom reports can now reference the codes and descriptions directly from the database.
