Introduction

The following data elements are required for state reporting.

To perform district specific tasks:

  1. Click the School link at the top of the page. The School pop-up menu appears.
  2. Choose District Office. The district Start Page appears.
  3. Under District, click Setup.

Required Setup

Quality Points

Enter the number of quality points to be awarded for this course. Quality points are awarded for honors, advanced placement, and IB courses. For example, if the numeric final grade for all students who complete this course is increased by 10 points, then enter 10.

This field flags the course as using quality points; however, the value is not automatically added to student final grades. Rather, the teacher must override the final grade for every student in the class and add the correct number of quality points.

200 Day Accountability

Does District Stockpile?

Choose Yes or No from the pop-up menu to indicate whether the district sets aside school days for specific purposes, such as inclement weather or teacher professional development days. A local board of education, private, or church-related school may exceed the full six and one-half (6 ½) hours of instructional time required by law by at least one-half hour daily for the full academic year. The excess instructional time may be accumulated up to 13 instructional days each year, and applied toward meeting instructional time requirements missed due to extreme weather conditions. The time may also be used for professional development, meetings, teacher-parent conferences, etc.

Note: Districts must define each calendar type to be used in both the district and school calendars. Types can be of a single event type or a comma separated list of multiple event type codes. An example of this is the attendance start date and calendar start date. In this case, the code value entered would be AS, CS to denote that this is both the attendance start date and calendar start date. Any meaning can be entered for these values. Please note that very long meaning values can distort how the calendar draws.

See the Appendix for the full list of event type codes.

Enter either a single two-letter code or multiple two-letter codes separated by a comma. This may be required if two events occur on the same day.

Creating Cycle Days

District Calendar Cycle Days > Edit/New

Note: Districts must define the district calendar cycle days, information to be used in the district calendars. This detail is not reported to the State but is required for a complete district calendar and for use in copying the district calendar to the school level. The cycle day name must exist at the district level with the exact same naming convention to any school calendar to which it will be copied. If a district calendar is to be copied to multiple schools, then the schools must follow the exact same naming convention for the cycle day name.

Setting Up Bell Schedules

District Calendar Bell Schedules > Edit/New

Note: Districts must define the district calendar bell schedule information to be used in the district calendars. This detail is required to determine the length of a school day. The name “Full”, “Third”, or “Half” must be in the district calendar bell schedule name. The bell schedule name must exist at the district level with the exact same naming convention to any school calendar to which it will be copied. If a district calendar is to be copied to multiple schools, then the schools must follow the exact same naming convention for the bell schedule name.

Bell Schedule Name

Enter the bell schedule name. If the district calendar is to be copied to a school, then enter the bell schedule name must be identical at the school and district level. If the district calendar is to be copied to multiple schools each school must share a common bell schedule naming convention.

The bell schedule name must contain the value that will be reported to the State. The values are “Full”, “Third” and “Half”. This value is parsed and any other descriptions can be used in the bell schedule name as long as one of these values is present in the name.

Creating Calendars

District Calendars > Edit/New

Note: Districts can set up a calendar for each unique attendance schedule used at the school level. Students, teachers, and sections (classes) are associated to each calendar using school-specific Instructional Program numbers. For example, Calendar Number 01 may be associated with Instructional Program number 01 at School 100. At School 100, assign Instructional Program number 01 to data elements that use that attendance schedule: teachers (Edit Information staff page), sections (Edit Section page), and students (using tracks on the Transfer Info > Edit Current/Previous Enrollment page).

Weekdays Setup

Setup the standard school week to be used as the basic weekly setup for a newly submitted district calendar. Select Day, Schedule, Tracks, in-session indicator, membership value, calendar day type and notes for the standard school week.

Calendar Number

Enter a number to uniquely identify a 200-Day Calendar within the district, such as 01, 02, or 03. There may be multiple 200-Day calendars per district.

Make sure you create new calendars in the correct context of the current year term. To view calendars of different term years, you must change the context of the current term year by clicking the term link in the upper right hand corner.

A unique district calendar must be created for each calendar number to report. Each school that a district calendar is to be reported to must use the same cycle day name and bell schedule name for the copy function to work successfully.

At this time the copy function should only be used for the original population of the district calendar and not to propagate latter changes.

Special Programs are also used to track Ed-Fi based Programs. No additional setup is required to populate Ed-Fi programs, as they will be automatically added with “(Ed-Fi)” appended to the program name. “(Ed-Fi)” is appended to program names so as not interfere with existing programs types.

To view only Ed-Fi Programs, only Non-Ed-Fi Special Programs, or only Ed-Fi Cohorts, click the appropriate checkbox on the Special Programs page. For further information about TN Ed-Fi, see the Ed-Fi Reference section.

Enter the special program name.

For Tennessee reports, special education students must be enrolled in a special program with the name Option 01, Option 02, Option 03, Option 04, Option 05, Option 06, Option 07, Option 08, Option 09, or Option 10. Defining Years & Terms

Years & Terms

The year term for each reporting year, such as 2009-2010, 2010-2011, etc., must be set up via Start Page > District > Years & Terms. To report the correct year term in Tennessee extracts, a special function must be run to set the current year term. Use the following steps to set the current year term:

  1. Click Term at the top of the page.
  2. Choose the current year term from the pop-up menu.
  3. Click Special Functions.
  4. Click Interfaces to Other Systems.
  5. Click Tennessee Educational Information System (EIS) from the Operations pop-up menu.
  6. Click on the Maintenance tab.
  7. Click Set Current Term Year.
  8. Check the Set Current Term Year Check Box.
  9. Submit.

Setting Up EDPlan

To use the EDPlan Import of Special Education and Option information a remote connection must be created:

  1. Navigate to System Administrator > System Settings > Plugin Management Configuration > Remote Connection Manager > Remote Connection Manager
  2. Click Create Connection.
  3. Enter a Name for the connection. This name will be used in the steps below under step 8 when scheduling the EDPlan import.
  4. Enter a description for the connection.
  5. Set Protocol to SFTP.
  6. Contact PCG – EDPlan for the following information: Host, Port, Username, Password, Confirm Password.
  7. Test Connection.
  8. Submit.

To Schedule the EDPlan Import complete the following steps: Navigate to Special Functions > Interfaces to Other Systems > Tennessee Education Information System (EIS) > Schedule EDPlan Imports.

  1. Click New.
  2. Enter a name for the import.
  3. Enter a description for the import.
  4. Enter a time to run the import.
  5. Select the days to run the import.
  6. Enter the import file name (This name is provided by EDPlan.)
  7. Select the connection name from the drop-down. The name to select is the name entered in the previous steps where a remote managed connection was made. The name was entered in step 3 of the remote managed connection steps above.
  8. Select the Data Service name from the drop-down. The name to select is IEPDataSevice.
  9. Click Enable if you are ready to enable the import.
  10. Click Submit.

Notes:

  • If enabled the import will now run at the selected time importing a complete set of all special education data as provided by EDPlan.
  • See the Tennessee state reporting data dictionary for table structure for tables associated with EDPlan and the storing of student special education information.

To View EDPlan import errors navigate to Special Functions > Interfaces to Other Systems > Tennessee Education Information System (EIS) > EDPlan Import Errors. The List EDPlan Imports Errors page displays the Date of the import, the index of the record in error, the type of error encountered, the student number provided in the errored record and the complete record text that errored out. This is provided for reference and to troubleshoot records that will not import with EDPlan.
