iNHDEX Student Absence

Introduction

This report produces a Student Absence submission for the the iNHDEX submissions.

Selection Criteria

The report selects records based on the following criteria:

  • School is not excluded from state reporting.

  • Student is not excluded from state reporting.

  • Attendance Codes must have an Attendance Type (from a School - School Management - Attendance - Attendance Codes - Select Code - New Hampshire State Information - Attendance Type) completed to be included in the report.

Attendance Type 1 and 2 will report using the Attendance Conversion > FTE > Code > Day Attendance Value. If number is 0, reports as 100. If number is 1, does not report, if reports as any other number then that number is multiplied by 100. Then that multiplied number is subtracted from 100 and that number reported as the absenceDatePct (i.e. A code that has a Day Attendance Value of .55 would report the absenceDatePct as 45. (100 x .55 = 55 and 100 - 55 = 45). 

Attendance Types 3 - In School Suspension (ISS) and 4 - Out of School Suspension (OSS) will always have 100 in the absenceDatePct column regardless of the Day Attendance Value. 

  • The Student's current enrollment is not excluded from state reporting.

  • Student is enrolled during the specified time frame.

  • Student must also have one of the following enrollment status codes:  

21-The student is enrolled in and is the financial responsibility of the district. (Code 1 before conversion) 

22-The student is enrolled in the district through a formal tuition agreement but is the financial responsibility of another district. (Code 2 before conversion) 

23-The student is enrolled in the district (no formal tuition agreement) but is the financial responsibility of another district or is parent paid. (Code 2 before conversion) 

27-The student is enrolled in your district through a Foreign Exchange program. This code is not to be used for New Hampshire students participating in a foreign exchange program. (Code 11 before conversion) 

Required Set-Up

  • Identify schools that are excluded from State reporting

  • Identify students who are excluded from State reporting

  • Attendance Codes need to be associated with the appropriate State Attendance Type.

Select Schools to Export

If run at the district level, choose one of the following:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.

  • All Schools – Run the report for the entire district.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Select Students

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.

  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Start Date

Enter the first date in the date range for this report. A student must have an active enrollment record equal to or later than this date to be included on the report.

End Date

Enter the last date in the date range for this report. A student must have an active enrollment record prior to or equal to this date to be included on the report.

Include Column Headings

Choose the option to include or not include column headings in the report.

Student Name

If 'Yes' is selected in the 'Include Student Names' parameter, this column will appear with the student name in Last First Middle order. This a not a State Data Element for the report but is an option for the purpose of verification.
