Run Data Collection

This data collection is run at the LEA and School level. Use the following steps to generate the Teacher Verification of Course Certification collection.

On the Start Page, click State Reports. The State Reporting Dashboard page appears and displays a list of data collections for the school.
Next to the In-Field Out-Of Field Data Collection, click Run.
The system validates the data against the business rules set up for the collection and completes the process.
Users have 24 hours to approve their data collection. If approval is not done within the 24 hours, the users must re-run the collection.

Review Data Collection

Next to the In-Field Out-Of Field Data Collection, click Review.
Select one of the following In-Field Out-Of Field Data Collection views from the Data View drop-down menu. The Results section displays the data collection results specific for the selected data view.

Click Export to export the data collection results to an Excel spreadsheet
The In-Field Out-Of Field Data Collection can be run for students who transfer between LEAs.

Data Collection View	Description
Course In-Field	This is a report that shows all sections that are In-Field. The report includes the school name, lead teacher name, course number, section number, term, school year, In-Field designation. The collection can be filtered by Course Code, Teacher Name, and In-Field status. The filtered results are exported as a delimited file.
Course Out-of Field	This report displays all sections that are Out-of Field. The report includes the School Name, Lead Teacher Name, Course Number, Section Number, Term, School Year, and Out-of Field designation. It can be filtered by Course Code, Teacher Name, or Out-of Field status. The filtered results are exported as a delimited file.
Course Code Crosswalk	List of all Course Code Crosswalk records.
EC Course Code Crosswalk	List of all EC Course Code Crosswalk records.
Teachers Assignment Audit	This report shows all lead teacher and co-teacher assignments to sections.
Teachers License Audit	This is a report that shows all lead teacher and co-teacher assignments to sections. The report shall include the school name, teacher name, course number, section number, term, school year, In-Field/Out-of-Field designation and the timestamp of the assignment action. The user shall be able to filter by Course Code, Teacher Name, and In-Field/Out-of-Field status. The filtered results shall be exported as a delimited file.
Course Assignment Audit	This is a report that shows all Course Numbers scheduled and all Qualified lead teacher and co-teacher License Area and Description. The report shall include the school name, teacher name, License Area, Description License Effective Date, and In-Field/Out-of-Field designation and Grade level. The user shall be able to filter by License Area, Teacher Name, and In-Field/Out-of-Field status. The filtered results shall be exported as a delimited file.
Course Code Not In Crosswalk	This report lists of all Course Codes that are not in the Crosswalk.

Review Exceptions

Use the following steps to review exceptions for a data collection.

From the Dashboard, click Review. The Review page appears.
Select Exceptions from the Reviews drop-down menu. Exceptions associated with a data collection display.
Select the exception type from the Choose exception drop-down menu. The Business Rule and Steps to Correct for the selected exception type appear on the page.
The Results section displays detailed information associated with the selected exception.
To narrow your search, select one or more filters, if available.
Click Refresh. The Results section displays the filtered exception results specific for the selected data view.
Note: Click Export to export the data collection results to an Excel spreadsheet.

Report Output

Each of the fields displayed in the output of the report is described below. See Understanding the Report Output Table for a definition of each column in the table.

Note: This data review is available aggregated for all schools at the LEA level.
