Work Assignment Record (WAR) Extract - Legacy

Introduction

This extract creates a file with job related information for the state department of education.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Staff Selection

  • The staff member must belong to one of the schools in the current selection or that the report is being run for.
  • The staff member must not be excluded from state reporting or EPIMS.
  • The school associated with the staff member must not be excluded from state reporting.
  • There must be a record for the staff member in the MA_War virtual table. The table is populated by manually entering Work Assignment Records at Start Page > Staff > Select A Staff Member > Edit Information > Work Assignment Records > New/Edit Work Assignment record or by running the War Record Builder at Start Page > Reports > Reports (State) > WAR Record Builder.

Prerequisite

You must complete the Years and Terms Mapping interface to map the local Term IDs to the state-required Term IDs for each school in your district prior to extracting the Work Assignment Records (WAR records). You can find this option via Start Page > District Setup > Schools/School Info > Edit School. Scroll to the Massachusetts State Information area at the bottom of the page. Refer to the District Setup section above for more information.

For example, for the 2010-2011 school year, the Term ID "2010-2011 School Year", needs to be mapped to the state-assigned term, "Full School Year (FULL) (01)". You must enter a record to designate the state assigned Term Code to extract for that term.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Records to Include

Indicate which records to include in the report by selecting one of the following options:

  • The selected [number] records only – Run the report for records in the current selection.
  • All records – Run the report for all records in the current school or district that meet the selection criteria.

Note: If running the report for a single record, or group of records, select the records prior to running report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute. Example: 7/29/2008 @ 10 AM : 05.

Select Schools to be Reported for one Sub District.

Select the schools you want to include in the extract for the sub district. Use this field only for Regional School Districts with Sub Districts. Select multiple schools using the command key.

Note: If your organization runs a single version of PowerSchool with multiple districts, you must use the Sub-district Configuration option to create the Regional School List displayed on this report interface page.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Note: MA_WAR is a virtual table where Work Assignment Records are stored in the database. See the Appendix for more information.

First Name

The first name of the staff member. This field is entered via Start Page > Staff > Select A Staff Member > Edit Information > Name.
