SIMS Data Collection

Introduction

The Student Information Management System (SIMS) Data Collection Extract collects student information to meet federal and state reporting requirements.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] table based on the following criteria:

  • The student must not be excluded from state reporting.
  • The student must have a school enrollment during the report date range.
  • The student must be flagged for inclusion in the SIMS Report, if specified when running the report.
  • The student must be assigned a SASID, if specified when running the report.
  • For evaluating a student to determine if they are SPED (special education) or Non-SPED students when running the report, the values of the Special Education Placement, Ages 3-5 (DOE032) and Special Education Placement, Ages 6-21 (DOE034) fields are evaluated. If both fields have a value of either 00 - Not a special education student, or 01 - Not a special education student but were previously, the student is considered Non-SPED. If either field has a value of other than 00 or 01, the student is considered a special education student.
    • If include Non-SPED students only is selected, then selection will only include students with the following values
    • Special Education Placement, Ages 3-5 (DOE032) = 00 or 01and Special Education Placement, Ages 6 – 21 (DOE034) = 00 or 01.
    • If include SPED students only is selected, then selection will only include students without the following values:
    • Special Education Placement, Ages 3-5 (DOE032) = Blank, 00, or 01or Special Education Placement, Ages 6 – 21 (DOE034) = Blank, 00, or 01.
  • For the Chapter 74 and non-Chapter 74 program, the following must be true for data to be extracted:
    • The student must not have exited the program before the Report End Date.
    • The student must have entered the program during the current year (after the Report Start Date).
    • The student must have an appropriate Enter Date and a blank Exit Date.

The following fields are determined using the student's last school enrollment during the specified time frame:

  • DOE015 School Identification Number (if School Code not specified)
  • DOE016 Grade Level

Intra-district transfer students will be listed in their last enrolled school in the district during the specified time frame along with their entire attendance in the district for the specified time frame.

Use

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • District Wide – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The District Wide option is only available when running the report from the District Office.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for records in the current selection.
  • All records – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

Report Start Date

Enter the report start date.

Report End Date

Enter the report end date.

4-digit District Code and 4-digit School Code

Enter the district code and/or school code for the extract file name.

Restrict students to those flagged for inclusion in the SIMS Report

Choose No or Yes from the pop-up menu to indicate whether to only include students flagged for inclusion in the SIMS report.

Exclude students without a SASID

Choose Yes or No from the pop-up menu to indicate whether to exclude students without a SASID.

Special Education Students to Include

Select one of the following from the pop-up menu:

  • Non-SPED & SPED Students
  • Non-SPED Students Only
  • SPED Students Only

Date of Birth Format

Select one of the following options:

  • D10 – mm/dd/yyyy
  • D8M – mm/dd/yy
  • D8Y – yy/mm/dd
Print Report HeadersSelect whether or not to extract header information for the report. Default is no.

Days in Attendance

The number of days the student was present at the school during the reporting period.

Logic:

  • If the Attendance field on the SAS tab is populated with an attendance value and the student is not a summer school graduate, dropout, or transfer, then the Days in Attendance value is a sum of all enrollment records for the active enrollment between report start date and report end date. If the student is a summer school graduate, dropout, or transfer, the SIMS report extracts 555.
  • If the Attendance field on the SAS tab is blank, the SIMS report extracts attendance values for the enrolled student based on ADA/ADM.
  • If the student is a summer school graduate, dropout, or transfer, the SIMS report extracts 555.

Note: Days in attendance is reported as a whole number only on the report. If the calculated value includes a partial day of .499 or below, the value is rounded down to the nearest whole day, and values of .500 or above are rounded up to the nearest whole day.

Logic:

  • If the Membership field on the SAS tab is populated with a membership value and the student is not a summer school graduate, dropout, or transfer, then the Days in Membership value is a sum of all enrollment records for the active enrollment between report start date and report end date.
  • If the Membership field on the SAS tab is blank, the SIMS report extracts membership values for the enrolled student based on ADA/ADM.
  • If the student is a summer school graduate, dropout, or transfer, the SIMS report extracts 555.
