Special Education Program Records Rollover

Introduction

With the State Reporting Update SR_23.12.1.0, a new functionality SPED Rollover is now available for the Districts to roll over the students' current and active Special Education Service Records if the students transfer to another school within the current and active school year.

Selection Criteria

  • This must be during the current/active school year.

  • The Student must be transferred from one school to another within the same school year.

  • The Student must have an active Special worksEducation Service Program record with the below-mentioned data:

    • The Service Termination Date is blank.

    • The SPED Placement is not 58.

    • The SPED Access School is not equal to the Student Access School or the current school number.

The SPED Rollover functionality is located under Special Functions or Functions:

  • Enhance User Interface:

    • District Office: District Management, Compliance, SPED Rollover under Functions

    • School: School Management, Compliance, SPED Rollover under Functions

  • Classic Interface:

    • District Office: Start Page, Special Functions, SPED Rollover under Indiana State Functions

    • School: Start Page, Special Functions, SPED Rollover under Indiana State Functions

Functionality

  • On running the special function the following updates are performed:

    • The selected students' current and active service record ends the Reason for Termination as 99 and the Termination date is updated to the day before the last school day of the latest reenrollment record.

    • A new service record is created with the same information filled in the other fields except the below-mentioned fields:

      • Service Begin Date:

        • The Service Begin Date will be the first date of the current school.

      • Service Termination Date will be blank.

      • The reason for Termination will be blank.

      • Special Education Access School will be updated to the current Access School (S_IN_STU_X.Access_School) and if it is blank then it will be updated to the current school number that the student is enrolled in.

Note:

  • What is the termination date for the newly created service record?

    • If a Student transferred from School 1 to School 2 and School 1’s exit date is 09/09/2023 the SPED termination date will get updated to 08/09/2023 as that will be the last in-session date or the last date of attendance for the student in School 1.

  • What is the Service Begin date for the newly created service record?

    • If a Student transferred from School 1 to School 2 and School 2’s entry date is 09/09/2023, the service begin date will be 09/09/2023.

  • How the SPED Access School will be filled for the newly created service record?

    • If a Student transferred from School 1 to School 2 and School 2’s number is 1234, the SPED Access School will be 1234, however, if 4321 is entered in the Access School field under the Student’s Membership page then 4321 will be filled in the SPED Access School.
