Extended Learning Participation (ELP) Setup

Overview

The ELP tracks student participation in extended learning opportunities outside regular school hours.

  • Option 1: Configuring ELP within PowerSchool - Complete internal tracking and management

  • Option 2: Using External Systems - External tracking with PowerSchool override records

Option 1: Configuring ELP in PowerSchool

Use this method when your district wants to track and manage all ELP data entirely within PowerSchool, including attendance tracking and program participation.

Step 1: School Setup

Navigate to School Configuration:

  1. Go to Start Page > District > Schools/School Info

  2. Select the Remote School that will be used for Expanded Learning Program sections

    • If you don't have a remote school, create a new remote school by selecting the checkbox Is a Summer School.

    • Remote schools are specifically designed for programs like ELP that operate outside traditional school settings

3. Select "Is this remote school used for ELP Programs" option.

Note: This checkbox only appears when the school type is set as "Remote School."

Step 2: Course and Section Setup

Configure Courses:

  1. Navigate to Courses within your remote school

  2. For each course that delivers ELP content:

    • Open the course record

    • Set "Expanded Learning Program Indicator" to Yes

    • Save the course

Configure Sections:

3. Navigate to Sections for your ELP courses 4. For each section delivering ELP:

  • Open the section record

  • Set "Expanded Learning Program Indicator" to "Yes"

  • Save the section

Note: Both course AND section levels must have the ELP indicator enabled for proper tracking

Step 3: Student Enrollment

Enroll Participating Students:

  1. Enroll students into the ELP-designated sections

  2. Ensure enrollment dates align with program participation periods

Step 4: Attendance Code Setup

Create ELP-Specific Attendance Codes:

  1. Navigate to Attendance Codes setup

  2. Create dedicated codes for ELP tracking, such as:

    • ELP-Present (for program attendance)

    • ELP-Absent (for program absences)

    • ELP-Partial (if tracking partial attendance)

Enable ELP Indicator: 3. For each ELP attendance code:

  • Open the attendance code record and check the option "Is this an ELP Attendance Code?"

  • Save the attendance code

Step 5: Daily Attendance Tracking

Record Student Attendance:

  • Use your designated ELP attendance codes to track daily participation

  • Any attendance duration (even 5 minutes) counts as one full day

  • Consistently track attendance throughout the program period


Option 2: External Tracking and PowerSchool Overrides

Use this method when your district manages ELP data in external systems (enrichment software, spreadsheets, etc.) but needs to report through PowerSchool.

Skip initial Setup

  • Skip setup steps 1-4 from Option 1 above

  • No need to configure schools, courses, sections, or attendance codes

Create Program Records

For each ELP participant:

  1. Navigate to Student Program Records:

    • Go to the student's record

    • Access Program Eligibility or Student Programs section

  2. Create Program Code 194 Record:

    • Add new program eligibility record

    • Select Program Code 194 (designated for ELP)

    • Set appropriate program start and end dates

  3. Enter Attendance Override:

    • Locate "Number of Days Attended (Override)" field.

    • Enter the total number of days the student attended ELP

    • This data should come from your external tracking system

  4. Save the Record:

    • Ensure all required fields are completed

    • Save the program eligibility record
