SAIS - Student SDADMS72 Audit Report

Use this report to Generates a CSV file of student average daily membership and attendance, taking into account student membership (FTE Value) and JTED enrollments.  The report uses FTE Value instead of Membership Share to determine a student's membership value.

The attendance information in this report is meant to reflect Membership, Absence, and Attendance Minutes reported to the state in a SAIS Build file. See also: Arizona 2017-18 Attendance Improvements.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] table based on the following criteria:

  • The student must be enrolled in the school during the school year selected at report runtime.
  • The student must be enrolled during the date range selected if a date range is used.
  • The student must be in selected grade level if a grade level is chosen.

Report Input

To generate the Student SDADMS72 Audit report, do the following:

  1. On the Start Page, click Reports. The Reports page appears.
  2. Click the State tab. The State Reports page appears.
  3. Click Student SDADMS72 Audit. The Student SDADMS72 Audit Report page appears.
  4. Enter information in all of the required fields.
  5. Click Submit to generate the report.

Use

Choose one of the following from the pop-up menu:

  • Current School Only (default) – Includes all student records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.
  • District Wide – Includes all student records on the PowerSchool server that meet the selection criteria.
Students to Include

Choose one of the following from the pop-up menu:

  • The selected x students only – Run the report for students in the current selection.
  • All Students (default) – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Grades (leave blank for all)

Check the grade levels the report should be completed for. Leave blank to run for all grade levels at the current school.

Data to be Filled

Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All.

Start Date

Enter a start date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific date range.

End Date

Enter an end date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific date range.

Enrollments to Report

Choose:

  • Regular

Attendance from JTED reported section enrollments are excluded from consideration in the attendance totals of this report.

  • JTED
  • Regular and JTED

Note: When the 'JTED' or 'Regular and JTED' option is selected, the output will include JTED Enrollments published to AzEDS from your PowerSchool server. The report looks at the AzEDS publishing tables to determine JTED Enrollment inclusion.

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Homebound

Indicates if the student is homebound. If the student is homebound then attendance values will be reported rather than absence values.

Absence

The Student's absence amount during the reported enrollment period.

Absences from a student's JTED reportable class are excluded from this total.

Attendance Minutes

The Student's attendance minutes during the reported enrollment period. This is only reported if the student is homebound or in pre-school during the enrollment.

Memb Days

The Student's membership amount during the reported enrollment period.

District of Residence

The Entity ID of the student's District of Residence.

DistrictOfResidence is used to look up the corresponding Entity ID from the CST_PubOrganization table. This table is populated when downloading the Organization Directory after enabling AzEDS (Ed-Fi) Reporting.

Note: Value will be blank if Ed-Fi has not been enabled and the Organization Directory has not been downloaded.

School of Attendance

The Entity ID of the student's School of Attendance.

If populated:

District of Attendance

The Entity ID of the student's District of Attendance.

The corresponding LEA (District) EntityID based on the reported School of Attendance value.

Note: Value will be blank if Ed-Fi has not been enabled and the Organization Directory has not been downloaded.

Derived from Entity ID reported in School of Attendance.
