AzEDS Beginning of Year Setup

Introduction

Prior to publishing for a new school year, you must enable the school year in the PowerSchool Data Exchange (DEX) configuration.

Important Note

PowerSchool DEX requires a new AzEDS profile for the 2021-22 school year. PowerSchool will automatically create the AzEDS 2021-22 profile with State Reporting Installer version 21.5.3.0. Refer to your Release Notes for more information.

The new profile, AzEDS 2021-22, is updated with the Endpoint and Authentication URLs for the 2021-22 school year, and the Authentication Key and Secret are copied from the previous school year. However, you will need to enable and configure the new profile prior to publishing for the new year. Refer to Enable School Year in Existing Profile below.

Enable Profile

AzEDS profiles are set up using the PowerSchool Data Exchange (DEX) plugin. The profile must be enabled before configuring for the 2021-22 school year. 

To access the Plugin Management Dashboard, sign in to PowerSchool at the district level.

  1. On the start page, choose System under Setup in the main menu. 

  2. Under Server, click System Settings

  3. Click Plugin Management Configuration.

  4. Click PowerSchool Data Exchange (DEX).

  5. In the PowerSchool Data Exchange (DEX) Setup page, click Profile Configuration

  6. Click Edit next to the AzEDS 2021-22 profile name.

  7. Select Enabled On.
  8. Click Save.

Configure PowerSchool Data Exchange

To access the PowerSchool Data Exchange General Setup, sign in to PowerSchool at the district level.

  1. Click System under Setup in the main menu.
  2. Click General Setup under Data Exchange. 
  3. Select the AzEDS 2021-22 Profile Name.
    Important Note: All Communication Settings, including LEA settings, are profile-specific. Verify that you have selected the correct profile before making changes.
    1. Select the checkbox next to the 2021-22 School Years.

  4. Verify all Service Options are checked.
  5. Click Configure for any LEAs that will be publishing.
    1. Enable LEA. 
    2. Save the communication settings. 
      1. PowerSchool recommends that you test your connection after completing these communication settings. Click Test Connection. A message appears to inform you whether or not the test was successful. Click the Save button to record your settings once the test is successful.
  6. Click Save.

Best Practice

  • Run Publish Missing or Publish All for each category on the AzEDS Dashboard a few days prior to state funding deadlines and at the beginning and end of the school year to verify that all records are updated to the state ODS.

AzEDS Dashboard

The AzEDS Dashboard profile links are located on the main menu, under the Data Exchange heading. Links to the AzEDS Dashboards will display if the DEX plugin is enabled and the AzEDS profile setup is complete.

  1. On the start page, choose a profile under Data Exchange in the main menu. This will open the AzEDS dashboard for the selected profile.

Best Practice

  • Periodically review the AzEDS Reporting page to ensure On Demand categories like Attendance are scheduled to run periodically.

Download State-Provided Data
