Truancy Report - For Audit Purposes Only

Introduction

Creates an output file for the District's Truancy report. Fully unexcused absent (truant) days are returned for selected students. You can report truancy data with age restriction for student who are ages 7 to 16 or are 6 years old and enrolled in 1st grade, or for all students regardless of age.

Note: The Truancy report is no longer collected by the state. Truancy data is now included in the Summer OASIS report. This report is for audit purposes only.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report returns truancy records based on the following criteria:

  • The student must not be excluded from state reporting.

  • The student’s school entry date must occur on or before the report end date.

  • The student’s school exit date must occur after the report start date.

  • Any unexcused absent codes MUST be flagged as an actual absent code.

  • Any unexcused absent codes MUST be set to an “Unexcused” code category.

  • The student must have a 0 for attendance, based on the locally defined attendance conversion, for the given day.

  • All attendance codes, for the given day, must be “unexcused absent” codes.

Description

 School(s) to report

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • District Wide (Default) – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The District Wide option is only available when running the report from the District Office.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.

  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Start Date

Enter the start date for the reporting date range.

End Date

Enter the end date for the report date range.

Report truancy data for*

Indicate which students to include in the report by selecting one of the following options:

  • Students ages 7-16 and 6 year olds in 1st grade.

  • All students regardless of age
