Certified Staff Accounting Report

Introduction

This report contains staff member data, including demographics and assignment information. All paraprofessional & classified employees employed by the district on the first work day of October must be included in this report. See the EED Forms & Grants page for additional information.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Staff Selection

The report selects records from the [Users] and [S_AK_USR_Assignment_C] tables based on the following criteria:

  • The staff member must not be checked to indicate that they were on leave for the year, or that they are a long-term substitute and were not teaching on October 1.

    • The Is this staff on leave for the full year or were they on leave on October 1st? field must be unchecked.

  • The staff member must have at least one assignment record that was active on October 1.

Description

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Select Staff

Indicate which staff members to include in the report by selecting one of the following options:

  • The selected [number] staff only – Run the report for a hand selected group of staff members.

  • All staff – Run the report for all staff members in the current school or district that meet the selection criteria.

Snapshot Date

Enter a snapshot date for the report.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Assignment Code

The staff member's Teacher Assignment Code.

If the staff member is not a curriculum specialist or a teacher, the Assignment Code will be 0.

Number of classes

If the staff member has a teaching Job Code, this is the number of classes taught. 

Note:  The value is extracted from the Number of classes field available in the Staff Assignments page. If there is no value in the Number of classes field, the existing report logic is considered. 

If the staff is not a teacher, this will be 0.

For secondary teachers, this is a count of distinct sections taught by the teacher. The Grade Level field is used to identify secondary level sections ([Sections]Grade_Level > 6)

Staff members that do not work an applicable Job Code will report X.
