Miscellaneous Reports: CourseSection Values Audit

Report Description

This report pulls the course level or section level characteristics appropriately for accurate reporting to the state. The report will search for values for the following fields at the section level, if the section level values are not entered, the report will look for the course level values to populate the data. This helps you audit or verify the section/course values.

  • Course Level

  • Course Level Characteristic

  • Course Setting

  • Course Term

To audit, create a report with the following three options:

  • Read-only: Print all course/section values for comparison/auditing
  • Read-only: Print only course/sections where there is a discrepancy, i.e. sections don't all match, so users can make the sections uniform if desired
  • Update Option: The course values, wherever Not set, will be updated from section values if all sections have the same value(excluding the nulls).

This helps you view the data before any update is done. It also serves as an audit check after you create all sections for a new school year.

Selection Criteria

Selection criteria determine which database records are used in the report.

Course Selection

The report selects active Course records from the [Courses] table based on the following criteria:

  • The course must not be excluded from state reporting.
  • The course must be active at the school

Navigation: System Reports > State > Miscellaneous Reports

  1. Select School and Term

  2. Click School Setup

  3. Select Sections and select a section, click on the active Section number

  4. Scroll down to the Edit Section

  5. Note the State Information fields

  6. Run the report.

Description

Select School and Term

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Select Sections
  • Select a section, click on the active Section number.
  • Scroll down to Edit Section.
  • Note the State Information field.

Select Students

Choose one of the following:

  • The Selected [x] Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school or district.

File Path

Enter the file path. If applicable, select the associated checkbox to save as the default value.
Data Collection Name

Choose the applicable Data Collection from the pop-up menu.

SFTP ConnectionsChoose a selection from the pop-up menu. The default value is Disable.

Report Output

Each of the fields displayed in the output of the report is described below. See Understanding the Report Output Table for a definition of each column in the table

A new report, Course/Section Values Audit, created on the State Reporting tab, under Miscellaneous Reports.

  • Section values will be copied to Course if the same value is stored in all sections for a Course and Course value is Not set.

  • Section values will NOT be copied to Course if different values are stored in all sections for a Course and Course value is Not set..

  • Null values at the Section level are ignored in these restrictions.
