The Office Visit Stats report is updated to include the Office Visit records that do not have an Outcome selected.

PSSR-2757072020-2021 CRDC Data Collection Updates

Updates to the data collection to support 2020-21 CRDC reporting are available. All known data entry changes with the exception of Incident Management have now been implemented. Incident Management updates along with the 2020-21 reporting changes will be provided in a subsequent release.

  • Summary of Changes
    • Each CRDC page listed below has been updated to reflect the current CRDC questions and reporting elements.
    • Obsolete elements have been removed from the main section of the page and are listed for reference only in the Deprecated Fields panel at the bottom of the page.
    • New elements have been added to the pages as noted.
    • Important: A new data entry model has been implemented for Texas.
      • Wherever Texas state fields can be used to derive the data for a CRDC question, verbiage beginning with “Texas-specific” displays in italics just below the CRDC question and indicates the source field(s) and logic that will be applied in the CRDC reports.
      • Override fields remain available for each element, indicated by this verbiage: “To override, select a value.” Any existing values in the override fields from the prior 2017-18 CRDC collection are displayed.
      • Users should not begin setting or updating overrides for any fields with Texas-specific data sources. In the subsequent release containing the CRDC report upates, all overrides in those fields will be automatically cleared so that the reports can apply the Texas-specific logic.
      • Elements with no indication of Texas-specific properties must be entered or updated where applicable using the standard CRDC data entry fields provided. Users can begin entering values in these manually coded fields now. Any element left blank will be interpreted as blank/not applicable in the reports.
      • Users should visit each of the CRDC data entry pages listed below to review the elements that will use existing Texas-specific fields and to enter or update selections where needed for elements that require manual coding.
  • District > District Info > Civil Rights Data Collection (CRDC)
    • Elements calculated based on Texas-specific data sources
      • SSPR-4. Does the LEA provide preschool services or programs that serve children ages 3 through 5? Calculated based on students enrolled in grade PK or lower, ages 3-5 on snapshot date.
      • DSED-1. Does the LEA have any students enrolled in any distance educational courses?
        Calculated based on students enrolled in classes at any point in the year with Special Explanation code Z or Non-Campus Based codes 02, 04, 05 or 1.
      • HSEE-1. Did this LEA operate a High School Equivalency Exam preparation program for students aged 16-19?
        Calculated based on students enrolled with a Flex Attendance Program Type code 2 at any point during the year.
    • All other LEA questions not noted above must be manually coded.
  • District > Schools/School Info > Civil Rights Data Collection (CRDC)
    • Elements calculated based on Texas-specific data sources
      • SCHR-3. Is this school a charter school?
        Calculated based on a non-null value in the Charter Educational Enrollment Capacity field (E1675).
      • PENR-3. Does this school have any students enrolled in a dual enrollment/dual credit program?
        Calculated based on students enrolled in classes on snapshot with a Dual Credit Indicator code or Special Explanation code D. 
      • Final Grade Store Codes do not need to be mapped in Schools/School Info. This page will be hidden in the next release and existing Texas Store Code mapping as entered in Years and Terms will be used for CRDC reporting.
    • New CRDC questions for 2020-21
      • DIND: COVID-related Directional Indicators
        • DIND-1. Directional Indicator – Instruction Type
        • DIND-2. Directional Indicator – Virtual Instruction
      • OFFN-5 - OFFN-10: Questions related to the number of incidents committed by Staff and number of allegations against Staff for rape, attempted rape, or sexual assault.
    • All other School questions not noted above must be manually coded.
  • District > Courses > Civil Rights Data Collection (CRDC)
    • Elements calculated based on Texas-specific data sources
      • DSED-1, DSED-2. Is this a distance education course?
        Calculated based on students enrolled in classes at any point in the year with Special Explanation code Z or Non-Campus Based codes 02, 04, 05 or 1
      • PENR-3, PENR-4. Is this a Dual Enrollment or Dual Credit course?
        Calculated based on students enrolled on Snapshot in classes with a Dual Credit Indicator code or Special Explanation code D. 
    • All other course questions not noted above must be manually coded.
  • School > Sections > Civil Rights Data Collection (CRDC)
    • Overrides are available in Sections for any section exceptions not already coded in District > Courses.
    • Otherwise, no data entry is required.
  • Student > State/Province – TX > Civil Rights Data Collection (CRDC)
    • Elements calculated based on Texas-specific data sources
      • DSED-1, DSED-2. Is this a student enrolled in any distance education courses?
        Calculated based on students enrolled in classes at any point in the year with Special Explanation code Z or Non-Campus Based codes 02, 04, 05 or 1
      • HSEE-2. Does this student participate in a High School Equivalency Exam preparation program (for ages 16-19) operated by this LEA?
        Calculated based on students enrolled with a Flex Attendance Program Type code 2 at any point during the year.
      • ENRL-3a. Is this a student with one or more disabilities served under IDEA?
        Calculated based on students enrolled on Snapshot in a Special Education program.
      • ENRL-3b. Is this a student with disabilities served under Section 504, but not served under IDEA?
        Calculated based on students enrolled on Snapshot in a 504 program.
      • PENR-3, PENR-4. Is this a student enrolled in Dual Enrollment or Dual Credit Programs?
        Calculated based on students enrolled on Snapshot in classes with a Dual Credit Indicator code or Special Explanation code D. (Note: Dual Credit sourced from Sections and Courses).
      • APIB-2. Is this a student enrolled in the International Baccalaureate (IB) Diploma Program?
        Calculated based on students enrolled on Snapshot in classes with Special Explanation code I.
      • EXAM-1. SAT and ACT Participation
        Calculated based on students having taken the SAT or ACT with scores stored in PowerSchool. If the district does not store SAT or ACT in PowerSchool, manual override is required.
      • ENRL-2a. Is this student an EL student?
        Calculated based on students enrolled on Snapshot with EB/EL Indicator code 1.
      • ENRL-2b. Is this student enrolled in an EL Program?
        Calculated based on students enrolled on Snapshot with an ESL, Bilingual or Alternative Program Code other than 0, 00 or NULL.
      • PENR-1,PENR-2. Is this student enrolled in a gifted/talented program?
        Calculated based on students enrolled on Snapshot in a Gifted program.
    • All other student questions not noted above must be manually coded.
  • Staff > Staff Information > Civil Rights Data Collection (CRDC)
    • Teacher Certifications in Math and Science must be manually entered.
    • No other staff data collection applies.

TX Interchange Student Parent: Version 21.12.1
The Student Parent Interchange for the ECDS and SELA collections is updated to output the Limited English Proficiency element using the revised descriptions from the TSDS DC079 code table for EMERGENT-BILINGUAL-TYPE. The EB/EL Indicator Codes in the EB/EL special program record are mapped as follows:

  • Code 0, 3, 4, 5, or NULL: Non-Emergent Bilingual (formerly NotLimited)
  • Code 1: Emergent Bilingual (formerly Limited)
  • Code F: Emergent Bilingual Monitored 1 (formerly Limited Monitored 1)
  • Code S: Emergent Bilingual Monitored 2 (formerly Limited Monitored 2)

A new collection code of TSDS - Child Find is now available for the above Interchanges. Select this collection code when running for the Child Find Collection. The content of the xml is unchanged, and matches that of the Summer PEIMS collection.

PSSR-278082New Crisis Codes, PEIMS Student Interchange Updates, and SPED Validations

TX Interchange Student: Version 21.12.1

  • New Crisis Codes
    • The S_TX_STU_X table and the Student Crisis Codes page are updated to support Crisis Codes 10A and 10B, which apply to students with ADA Code 9 on the specified dates for the PEIMS Summer and Extended Year Submissions.
      • COVID-19 Code 10A 01/14/2022 (S_TX_STU_X.Covid19_Code10A): Student Was Enrolled, Not In Membership Due To Virtual Learning On January 14, 2022. The student's ADA code on the January snapshot date is also displayed as read-only.
      • COVID-19 Code 10B 05/13/2022 (S_TX_STU_X.Covid19_Code10B): Student Was Enrolled, Not In Membership Due To Virtual Learning On May 13, 2022. The student's ADA code on the May snapshot date is also displayed as read-only.
    • Data Entry
      • Districts can assign the new crisis codes to students using the Student Field Value function or via manual coding if desired, but this is not required for PEIMS reporting.
      • Once TREx is updated for the new codes, the ADA 9 crisis codes will be transmitted. For ADA 9 students transferring in from another district who may not have been enrolled in PowerSchool on the crisis code snapshot dates, manual coding will be required in order to transmit these values in TREx.
  • Student Interchange for Summer PEIMS and Extended Year
    • The Student Extension is updated to include the TX-CrisisImpacts complex type for students who qualify for one or both of the codes based on ADA Eligibility Code 9 on the Crisis Code snapshot dates.
    • If a student is manually coded for Crisis Code 10A and/or 10B, the code(s) are reported as entered.
    • If the student does not have coding in the database, but was enrolled in PowerSchool with ADA Eligibility Code 9 on the target date(s), the indicators are output automatically.
  • Student Interchange for Fall PEIMS
    • The logic related to IEP Continuer is revised to ensure that the element is suppressed for students who do not meet the reporting criteria.
    • IEP Continuer is reported only for SPED students whose age as of Sept. 1 is 18 or older, and whose As-of-Status Code is a value other than A. The element is suppressed in all other cases.
  • Early Childhood Validations in SPED Special Program record: The validations related to student age on the fall snapshot date are updated to conform to the TEA edits, which allow early childhood coding for students who are 3, 4, or 5 years of age (up to age 6) on the snapshot, instead of up to age 5.
    • Instructional Setting (E0173): "Student age on snapshot date must be 3, 4 or 5 when Instructional Setting is 45, 89, or 98."
    • Primary Disability (E0041): "Student age on snapshot date must be 3, 4 or 5 when Primary Disability is 14."
    • Pre-School Prog Children w Disabilities (E0899): "Student age on snapshot date must be 3, 4 or 5 when PPCD is 1."
    • PPCD Service Location (E1077): "Student age on snapshot date must be 3, 4, or 5 when PPCD Service Location is not 0 or blank."
PSSR-280025Report Updates for District Staff Records

Staff Unique ID Request: Version 21.12.1
Staff Responsibility Report and Record Creation: Version 21.12.1
Both reports now have a new parameter for "Include District Staff". Select this option to include staff with no school assignments in PowerSchool.

  • The Staff Unique ID Request extract is updated to correct an issue where district-level staff without a school assignment were erroneously excluded.
  • The Staff Responsibility Report PDF output is updated to now include manually-entered records for district staff. Previously, these records were included in the Staff interchange as expected, but were not displayed in the verification PDF report.
PSSR-281023Student Assessment Pre-Code Updates

Student Assessment Registration File: Version 21.12.1
Student Test Attributes Upload File: Version 21.12.1
The Assessment Registration file is updated to report the SSN and Local Student Number in the correct column positions. The Student Language element is updated to source the data from student secondary language rather than primary language.
Both the Registration and Attributes file are updated to exclude students that are currently inactive based on the current system date.
