PSSR-2351462020-2021 Miscellaneous TSDS/PEIMS Data Collection Updates

In preparation for the 2020-2021 school year, the following data collection updates are now available.

  • Demographics page: A new Language Code, 6B American Sign Language (ASL), is added to the drop-down lists for the Home Language Code and Student Language Code elements.
  • Staff Information page
    • A new element, Paraprofessional Certification Indicator (E1670), is added as a drop-down list field with available values of Select Code, (1) Yes, and (0) No.
      • Database: [S_TX_USR_X]E1670_Paraprof_Cert_Ind
      • Definition: Indicates whether a paraprofessional staff person is certified.
      • Reporting Requirements: This indicator will be reported in the Staff Extension complex in the Fall PEIMS collection. The element is only reported for paraprofessional staff that provide services to Special Education students: Educational Aides (ROLE-ID 033) serving special education students (POPULATION-SERVED-CODE 06).
    • The Role ID drop-down list is updated with the following changes:
      • 008: Updated from Counselor to School Counselor
      • 110: Updated from Custodial to Custodial (Professional/Mgmt)
      • 111: Updated from Maintenance to Maintenance (Professional/Mgmt)
      • New code 115: Psychiatric Nurse
      • New code 116: Licensed Clinical Social Worker
      • New code 117: Licensed Professional Counselor
      • New code 118: Licensed Marriage and Family Therapist
    • The Auxiliary Role ID drop-down list is updated with two revised code descriptions:
      • 213: Updated from Custodial to Custodial (Auxiliary/Support)
      • 214: Updated from Maintenance to Maintenance (Auxiliary/Support)
  • Graduation Information > Performance Acknowledgements > Industry Certification/Licensures:
    • Code 400 - Certified Patient Care Technician (CPCT) is obsolete for the 2020-2021 school year. The code is hidden if the date in the record is 08/01/2020 or later but remains available in older records.
    • New code 931 - Medical Lab Technician is added as an available code in records dated 08/01/2020 or later.
  • District Setup > Schools/School Info: New code 16 - Additional Days School Year Program is added to the Default Instructional Program Type (E1600) drop-down lists for the school and tracks.
  • Multiple Pages: New code 11 - In-District Charter Partnership is added to the PK School Type drop-down list in District Setup (district default), Schools/School Info (school default), and to the Pre-K Special Program record.
  • Incident Management > Behavior Codes: Code 13 - Unlawful Carrying of a Club is obsolete for the 2020-2021 school year
  • All TEA code table changes are updated in the PS_Common_Code table.
PSSR-211844AAR Updates for EOC English I SAT Substitution Assessment and Addition of Splitter Text

AAR by Number, Grade, Last Initials, or Student Selection: Version 1.0.16

The AAR reports are updated to support an additional SAT score name for English I EOC Substitution Assessments. For SAT exams taken in March 2016 or later, test score names of either SAT_EBRW or SAT_Reading with a minimum score of 480 are now considered. To support product customizations, invisible text containing the StudentID is now included in the report footer.

PSSR-235366Add Bilingual/ESL Funding Codes to LEP/EL Special Program Record
  • To provide more visibility into the funding impact of LEP/EL coding, two read-only fields are now available on the LEP/EL Special Program page, below the existing Parental Permission field:
    • Bilingual/ESL Funding Code
    • Funding Weight
  • The Bilingual/ESL Funding Codes are calculated using the same logic as already implemented in the PEIMS Student Attendance Interchange; that is, the calculations are based on the combination of the student's LEP Indicator, Parental Permission Code, and Program. The corresponding Funding Weight for each code is also displayed for informational purposes.
  • These fields are blank if the combination of codes in the record do not qualify for weighted funding.
  • Bilingual/ESL Funding Codes and Corresponding Funding Weights:
    • BE: Student in standard or alternative Bilingual or ESL program; Funding Weight = 0.10 for each of the following:
      • LEP Indicator = 1, Parental Permission = A or K, ESL Program = 2 or 3
      • LEP Indicator = 1, Parental Permission = D, Bilingual Program = 2 or 3
      • LEP Indicator - 1, Parental Permission = E, Alternative Language Program = 01
      • LEP Indicator = 1, Parental Permission = J, Alternative Language Program = 02
    • D1: Student in Bilingual Dual Language Immersion/One-Way program; Funding Weight = 0.15
      • LEP Indicator = 1, Parental Permission = D, Bilingual Program = 5
    • D2: Student in Bilingual Dual Language Immersion/Two-Way program
      • LEP Indicator = 1, Parental Permission = D, Bilingual Program = 4; Funding Weight = 0.15
      • LEP Indicator = F, S, 3, 4 or 5, Parental Permission = G, Bilingual Program = 4; Funding Weight = 0.05

  • PK Data Elements
    • District Defaults: To streamline data entry for the ECDS and PEIMS collections, new district default fields are added to the District Info page. The field values can be set once for the district and will be automatically extracted for all schools as long as no overrides have been entered at the school level (or Sections or Courses for the PK Curricula Code). The new fields are:
      • PK School Type (E1555)
      • PK Curricula Code (E1579)
      • PK Full Day Waiver Indicator (E1646)
    • PK Curricula Code (E1579) is added to the Schools/School Info page as a new school-level default. The same element remains available for overrides on the Section and Course pages. The drop-down list values displayed now exclude obsolete codes
    • PK School Type (E1555) is removed from the Section page.
  • PE Class Days/Minutes Taught Elements
    • To allow defaults to be set at the school level, the PE Class Days/Minutes Taught elements, as reported in Fall PEIMS Staff Responsibility records, are now available on the Schools/School Info page. The existing data sources in Sections and Courses remain available:
      • E1604 Days Taught Week_1
      • E1605 Days Taught Week 2
      • E1606 Days Taught Week 3

PSSR-235365Manual Entry Stored Grades Verification Report Update

Manual Entry Stored Grades Verification Report: Version 1.0.4

The Manual Entry Stored Grades Verification Report is updated to include stored grades records attached to any term (year, semester, trimester, or quarter) where Texas final grade store code mapping has been configured for the S1, S2 or Average final grades. In addition, when the report is run in Validation mode and a district course number is provided in the record, the report no longer flags missing field errors for required elements that can be derived from the district course record.

The Staff Unique ID Request Report is now output as a ZIP file, which includes the submission file and a companion 'Excluded Staff' CSV file that lists the staff who were excluded from the extract due to missing required fields. Excluded Staff are identified by School, Staff ID, Last Name, First Name, and the Reason for Exclusion:

  • Missing or invalid Last Name
  • Missing or invalid First Name
  • Missing Ethnicity
  • Missing Race Code
  • Missing or invalid SSN
  • Missing or invalid DOB

The TREx Extracts are updated with the following changes:

  • The TREx header row is updated to reflect xml version v1.22.
  • A new complex type is added as the last element in the Student Demographic node to report the COVID Crisis Codes (7A-7I). If students have not been assigned a COVID Crisis Code in PowerSchool, the complex type is suppressed.
  • New logic for EOC COVID waivers is implemented when reporting STAAR EOC Assessment records for the 2019-2020 school year.
    • TEA has added a new Performance Level code of B to the TREx code table: 2020 Waived - STAAR testing requirements waived for administrations for the 2019-2020 school year
    • On the Graduation Information > EOC Status tab, students who qualify for this waiver must have an EOC Waiver record with a code of CO - COVID for each applicable EOC assessment. The date for the COVID waiver must fall between 01/01/2020 and 08/31/2020.
    • Based on the COVID Waiver records entered on the EOC Status tab, assessment records with the following xml values for TestName, TestDate, and PerformanceLevel are output:
      • Algebra 1: output as TestName = E6, Test Date = Waiver Date, PerformanceLevel = B
      • Biology: output as TestName = E9, Test Date = Waiver Date, PerformanceLevel = B
      • English I: output as TestName = EG, Test Date = Waiver Date, PerformanceLevel = B
      • English II: output as TestName = EH, Test Date = Waiver Date, PerformanceLevel = B
      • US History: output as TestName = EC, Test Date = Waiver Date, PerformanceLevel = B

SPPI-14 Student and Contact Verification Report: Version 1.0.2

The StudentParent Interchange for the SPPI-14 TSDS collection now supports two Student Contacts per student. The new ContactPriority element is displayed in the StudentParentAssociation complex. The Parent with the highest priority displays a ContactPriority of 1 and the secondary contact displays a ContactPriority of 2.

The SPPI-14 Student and Contact Verification Report now supports two Student Contacts per student. The new Contact Priority column is displayed at the end of the CSV. The Parent with the highest priority is displays a ContactPriority of 1 and the secondary contact displays a ContactPriority of 2.

PSSR-231930Update Title I Automation to Include Targeted Assistance Campuses

Title I Automation now supports Targeted Assistance Campuses based on the following new preferences in District Setup > Texas Preferences:

  • Enable Title I Targeted Assistance Record Automation for Student Enrollments and Transfers: select this checkbox to enable the automation.
  • Action to take when students transfer between two Targeted Assistance Campuses: one of the two available options must be selected:
    • Close record and open a new record at the new campus
    • Close record only
  • Targeted Assistance Automation applies only to schools designated with a Title I Part A Indicator of ‘(7) Title I targeted assistance, participates’ in District > Schools/School Info > PEIMS Information.
  • Targeted Assistance Automation logic
    • Initial Record: At the start of school, no Targeted Assistance records are created automatically; districts must first create Title I Special Program records with a Title I code of 7 for students served under Title I Targeted Assistance.
    • Transfer Out: If the student has an open Title I record with a code of 7 and transfers out of the school, the Title I record is closed
      • Exit Date = student's enrollment exit date
      • System Comment = Closed by Title I Automation: date/time stamp
    • Re-Enrollment: If the student subsequently re-enrolls in a Title I Targeted Assistance campus (either the same school or a different one), the action taken is based on the district preference for ‘Action to take when students transfer between two Targeted Assistance Campuses’
      • If the preference is set to ‘Close record only’, no additional action is taken; staff at the new school must decide if the student will be served and then create a new Title I record.
      • If the preference is set to ‘Close record and open a new record at the new campus’ (Note: When this option is selected, schools should verify that the student is being served as a Targeted Assistance student; if not, the record must be closed manually.):
        • A new Title I record is opened with a Title I code of 7
        • Entry Date = Student's School Entry Date
        • School ID = the student's new Targeted Assistance Campus
        • System Comment = Opened by Title I Automation: date/time stamp
