PSSR-249195AAR and TREx Updates for New Student-level Preferences

  • New Student Preferences: The Graduation Information page is updated with two new preference fields for the AAR and TREx Extracts.
    • Exclude ACT/SAT on AAR and TREx: Set the value to “Yes” to suppress the output of the student’s ACT and SAT scores on the AAR and in the TREx extract. The scores will continue to display for all other students based on the option selected at runtime.
    • AAR Custom Comment: This is an optional 400 character text field that will display only on the AAR, directly above the legend.
  • AAR and TREx Updates: The reports are updated to exclude the student’s ACT and SAT scores when the student preference is set to Yes. When the AAR Custom Comment field is populated, the content now appears directly above the transcript legend.

  • New Crisis Codes
    • The Student Crisis Code page is updated with two new fields to capture January 29, 2021, and March 31, 2021, Crisis Code indicators.
    • COVID-19 Code 01 01/29/2021 (S_TX_STU_X. COVID19_Code01)

  • Fall PEIMS Student Enrollment Interchange
    • The output of the Student Attribution Code element for prior year leavers is updated to ensure that the student’s final prior-year Attribution Code is reported as entered, and the Campus of Residence is reported as expected.
    • The only exception is for students who finished the prior school year in a JJAEP. If the student's Attribution Code from the final PEIMS General record in the prior year = 02 (JJAEP), that value is suppressed, and the student is reported with a default Attribution Code of 00; the Campus ID of Residence element is also suppressed in this scenario.
  • Summer PEIMS Student and Student Enrollment Interchanges
    • A new runtime parameter is now available to support the new 2021 Crisis Codes. The functionality is the same as previously implemented for the Fall 2020 mini-crisis code submissions.
    • When the SUMR collection is selected, an additional "Crisis Code Submission" parameter is displayed with the following options:
      • Not Applicable (default)
      • January Crisis Code Submission
      • March Crisis Code Submission
    • Student Interchange: when either the January or March Crisis Code Submission option is selected, the Student Extension is output with the appropriate Crisis Code for the selected mini submission.
    • Student Enrollment Interchange: when either the January or March Crisis Code Submission option is selected, the output includes only the Student School Association, and no Student Section records are reported.
    • January Crisis Code Submission
      • If the January option is selected, all students enrolled on 01/29/2021 are extracted, regardless of whether the student withdrew from school after this date.
      • A single record is reported in the TX-CrisisImpacts complex type based on the code assigned in the S_TX_STU_X.COVID19_Code01 field (1A, 1B, or 1C) such as:

      • If the student is enrolled on the January crisis snapshot date but does not have a value entered for S_TX_STU_X.COVID19_Code01, the element is reported with the xml tags and a blank code to generate a loader error, such as:

      • If the student also has a value for any other crisis codes, those are suppressed.
    • March Crisis Code Submission

      • A single record is reported in the TX-CrisisImpacts complex type based on the code assigned in the S_TX_STU_X.COVID19_Code02 field (2A, 2B or 2C) such as:

        • If the student has a record for any of the four 20-21 Crisis Code fields, all codes are reported, such as:

PSSR-252658SPPI-14 Updates for Student Contact Addresses

SPPI-14 Student and Contact Verification Report: Version 1.0.4
TX Interchange Student-Parent: Version 1.0.22

When the Student Contacts option is selected, the SPPI-14 Student and Contact Verification Report and the TX Interchange Student-Parent extract only the contact’s current address. Prior addresses where an Exit Date in the address record exists are suppressed. The reports are also updated to select only the student’s active contacts based on the Relationship Start Date and the Relationship End Date.

PSSR-250699Updates for CTE Auto-Code and Fall PEIMS Staff Responsibility Record Creation

The nightly CTE Auto-Code routine is updated and reactivated to identify students who are taking, have taken, or have completed at least one CTE course during the current year. Career and Tech Special Program records are opened, closed, and/or updated as needed to allow districts to track and manage CTE students, and to support the reporting of Career Tech Special Program records for the PEIMS Summer Submission. Once the CTE Auto-Code has run at least once, districts can use the PEIMS Special Programs Verification Report (Career and Tech option) to review and verify the records.

  • Restore CTE Auto-Code Preference
    • The nightly CTE Auto-Code routine is now re-enabled in District Info > Texas Preferences > Enable Daily CTE Auto-Code.
    • By default, the process executes nightly at 2:00 am. Districts can modify the time as desired.
  • Updates to the Career and Tech Special Program Record Page
    • The CTE Indicator is no longer read-only; the following values are provided in the dropdown list:
      • (0) Not CTE (applies only to students with a CTE Override of 2 who do not have at least one day of CTE class enrollment in the current year)
      • (1) Enrolled in a CTE Course
      • (2) Participant in a coherent sequence of courses
      • (3) Participant in the Tech Prep program (obsolete code available only in records dated prior to 08/01/2016).
    • A new “Auto-Code Status” field is added to the page just below the CTE Indicator. This field is populated by the CTE Auto-Code to indicate the student’s CTE Course status for the current year:
      • CTE currently scheduled: The student is currently scheduled in at least one CTE course.
      • CTE not completed: The student was previously enrolled in a CTE course but dropped the course prior to completing the class or earning a completion grade.
      • CTE completed: The student has completed at least one CTE course or course part in the current year and is not currently scheduled for another CTE course.
      • CTE completed and currently scheduled: The student has completed at least one CTE course or course part in the current year and is currently scheduled for at least one other CTE course.
      • CTE not scheduled: The student has a CTE Indicator or CTE Override =2 but is not scheduled in any CTE classes in the current year.
  • Updated CTE Auto-Code Process
    • General Functionality
      • Career and Tech records are closed, opened or updated as described below for each of the possible scenarios.
      • When prior year records are closed, the Exit Date is set to the day after the last day of school.
      • When a new record for the current year is created, the Entry Date is set as follows:
        • If the student has at least one day of CTE enrollment in the current year, the Entry Date is set to the earliest Entry Date for a CTE class.
        • If the student was manually coded as CTE 2 in either the CTE Indicator or the CTE Indicator Override in a prior year record but does not have at least one day of CTE enrollment in the current year, the Entry Date is set to the student’s first day of enrollment in the current year.
        • Entry Dates in existing current year records with a value of 2 for the CTE Indicator or CTE Indicator Override are left intact.
      • When new records are opened, the additional fields in the CTE record are handled as follows:
        • Grade Level: the student’s grade level is set to the student’s current or most recent grade level.
        • School: though not visible on the page, the School ID in the record is synched to match the student’s current or most recent school of enrollment.
        • Existing values of 2 in the CTE Indicator or CTE Indicator Override field are always carried forward.
        • Transportation CTE Support Service (E0917), Displaced Homemaker (E1039), and Single Parent Pregnant Teen (E0829): existing values are always carried forward.
        • Exclude Vocational Contact Hours
          • If the prior record was in a prior school year, any existing values of “Yes” are reset to “No” in the new records.
          • Any existing values of “Yes” in current year records are left intact.
      • The student’s current year CTE Indicator and Auto-Code Status are set as appropriate based on the student’s schedule and CTE course completions.
      • Each time a record is manipulated, the System Comment is populated as “Auto-Code Update: date/time stamp.”
      • In subsequent Auto-Code runs, if the student’s status has changed, the CTE Indicator, Auto-Code Status field, and System Comment are updated as needed.
      • Once a current year record is created, it is left open for the remainder of the school year. Current year records will be closed automatically by the CTE Year End Automation process that will run during the summer of 2021.
    • CTE Auto-Code Scenarios and Actions
      • Scenario #1: Students with open CTE records where the CTE Indicator Override = 2
        • If the record is dated in the prior school year, it is closed, and a record for the current year is created.
          • The existing CTE Override of 2 is carried forward.
          • The CTE Indicator and Auto-Code Status are set as appropriate based on the student’s schedule and CTE course completions.
        • If the record is dated in the current school year, the record is left open. The CTE Indicator and Auto-Code Status are set as appropriate based on the student’s schedule and CTE course completions.
      • Scenario #2: Students with open CTE records where the CTE Indicator = 2
        • If the record is dated in the prior school year, it is closed, and a record for the current year is created.
          • The existing CTE Indicator of 2 is carried forward.
          • The Auto-Code Status is set as appropriate based on the student’s schedule and CTE course completions.
        • If the record is dated in the current school year, the record is left open.
          • The CTE Indicator of 2 is left as is.
          • The Auto-Code Status is set as appropriate based on the student’s schedule and CTE course completions.
      • Scenario #3: Students with records closed by the summer 2020 Year-End Automation process where the CTE Indicator Override = 2 and student does not have a current year open CTE record.
        • A new CTE record is created and the CTE Indicator Override of 2 is carried forward.
        • The CTE Indicator and Auto-Code Status are set as appropriate based on the student’s schedule and CTE course completions.
      • Scenario #4: Students with open records where CTE Indicator = 1
        • If the record is dated in the prior school year, the record is closed.
        • If the student has at least one day of enrollment in a CTE class this year, a new CTE record is created.
          • The CTE Indicator is set to 1.
          • The Auto-Code Status is set as appropriate based on the student’s schedule and CTE course completions.
        • If the record is dated in the current year, the auto-code process verifies that the student meets the criteria for a CTE Indicator of 1.
          • If the student does not have at least one day of enrollment in a CTE class this year, the record is deleted.
          • If the student has at least one day of enrollment in a CTE class this year, the record is left open.
            • As needed, the Entry Date is updated to correspond to the earliest Entry Date for a CTE class.
            • The Auto-Code Status is set as appropriate based on the student’s schedule and CTE course completions.
      • Scenario #5: Remaining students with no open CTE records
        • If the student has at least one day of enrollment in a CTE class this year, a new CTE record is created
          • The CTE Indicator is set to 1.
          • The Auto-Code Status is set as appropriate based on the student’s schedule and CTE course completions.
          • Otherwise, no action is taken.

The Fall PEIMS Staff Responsibility Record Creation process is updated to include sections with Non-Campus Based Instruction Code (04) Texas Virtual School Network (TxVSN) Online Schools program (formerly eCP). Responsibility records are produced if the Non-Campus Based Instruction Code = blank, 00, 04, and 06; records are not created for any other Non-Campus Based Instruction Codes.

PSSR-244300Contact Tracing Report Update - Incident Management Data Grouping

Contact Tracing Report Version: 1.3
The Contract Tracing report has been updated and can now pull data from Incident Management. When this data grouping is selected, the following points will be extracted:

  • Name
  • Student/Staff Indicator
  • Student Number
  • Grade Level
  • School Abr
  • Incident Date
  • Incident ID
  • Incident Title
  • Incident School Abr
  • Contact Name
  • Phone Number

The parameter has been brought in a single row which says "Include" and the user can check the option "Class", "Busing" and "Incident"

The list of students will now be returned if the user enters a start and end date that span multiple years.
