Absence Export for HB410 Truancy/Chronic-OH 1

Introduction

This extract generates a comma separated value (CSV) file that includes student absence data related specifically to Ohio House Bill 410 requirements. It is recommended that users select a group of students prior to running this export.

If "All Students" is selected, students are selected for the report as follows:

  • Students who have absences between the report start and end dates
  • Students who are enrolled at some point between the report start and report end dates
  • Student who are not flagged to be excluded from state reporting

Description

Schools for which to run?*

Choose one of the following:

  • Select Multiple Schools – Includes all student records associated with the schools selected that meet the selection criteria. Use the control key to select more than one school for the report.
  • All Schools (default) – Includes all student records on the PowerSchool server that meet the selection criteria.

Report Start Date*

Enter the start date for scanning school enrollments.

Format: [M]M/[D]D/[YY]YY

Report End Date*

Enter the end date for scanning school enrollments.

Format: [M]M/[D]D/[YY]YY

Current Selection Students*

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [number] Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Scheduling

Run Now

Select this option to execute the report in the order it is received in the report queue.

Schedule (available Version 7.1.1.)

Enter the start date and start time for the report.

  • Select Run Once and Submit to run the report at the specified date and time.
  • Select Repeat to set future dates (Daily, Weekly, Monthly, Yearly) and Submit.

Excluded from Truancy

This column contains the amount of time that is excluded from the consequences for truancy expressed as hours:minutes. The column contains 0:00 if no time is excluded. The determination for reporting zero or an amount of time is based on [S_OH_ATC_Truancy_X]involuntary_absence being set to true or false. If true, hours:minutes is equal to the Absence Time column; if false the column contains 0:00.

Student District of Residence

This column contains the student's district of residence. In situations where a student is open-enrolled to a second district and cross-enrolled at a JSVD, the IRN listed is that of the educating district, not the resident district.
