Introduction

The following data elements are required for student setup. The first two pages of navigation are removed for brevity:

Start Page > Student.

  1. On the Start Page, select the School link at the top of the page.
  2. Choose the appropriate school from the pop-up menu.
  3. Click Submit.
  4. Select the first letter of the student's last name.
  5. Select a student from the list. The last accessed student information page opens for the student selected.

Entering General Demographics for NCEA

Student Selection > Demographics

Federal Ethnicity and Race: Ethnicity

Choose Yes or No to indicate if the student is Hispanic or Latino.

Select the checkbox for the appropriate federal race category. If multiple races are selected, or if the student is assigned a specific code denoting multi-racial, the student will be reported as "Two or more races".

Gender

Choose either female or male from the pop-up menu.

Entering NCEA Information

Student Selection > NCEA Student Information

Exclude student from NCEA reporting

Select if the student should not be included in NCEA reporting.

Religious affiliation

Choose the student's religious affiliation.

Valid values:

C – Catholic

N – Non-Catholic

U – Unknown

Has diagnosed disability

Includes ADD/ADHD, Autism, Emotional/behavioral, hearing impairments, learning disabilities, physical disabilities, speech/language impairments, visual impairments.

Select if the student has a diagnosed disability.

Select if the student is ungraded.

Receives Title I Services

Select if the student receives Title I services.

If the student is enrolled in a school that does not offer Title I services, this selection is not available, and Not Offered is displayed.

Receives free/reduced meals

Select if the student receives free or reduced-priced meals.

  • If the student's school does not offer the Free/Reduced Meal program, this selection is not available, and Not Offered is displayed.
  • If the student's school offers the Free/Reduced Meal program, and the 'All students in the school receive free/reduced lunch' field is selected on the NCEA School page, this selection is not available, and Yes is displayed along with the text, “All students will be reported as receiving free/reduced lunch based on the NCEA school page setting.”
  • If the student's school offers the Free/Reduced Meal program, but the 'All students in the school receive free/reduced lunch' field is not selected on the NCEA School page, this field is available for you to select.

Eligible for free/reduced meals

Students whose household income is below the U.S. Department of Agriculture threshold should be selected as eligible for free or reduced-priced lunch regardless of whether the school offers federal nutrition programs.

Select if the student is eligible for free or reduced-price meals, but is not receiving those services.

Data entry validations do not allow both the “receives” and “eligible” checkboxes to be selected for Free or Reduced Meals.
