All States/Provinces: 2022-23 NCEA Data Collection Updates

Data collection updates to support 2022-23 NCEA Data Bank reporting are now available for the Diocese, School, and Student pages. There are no changes to the NCEA Staff page. The related report updates will follow in a subsequent release.

  • District > Diocese Information for NCEA Reporting: Updates for Principal Retention

    • The number of principals who were employed during the last school year: new source fields are added.

      • Elementary: [Prefs]NCEA_Princ_LastYear_Elem

      • Secondary: [Prefs]NCEA_Princ_LastYear_Sec

    • The number of principals who did not return for the current school year: source fields are unchanged.

      • Elementary: [Prefs]NCEA_Princ_Not_Return_Elem

      • Secondary: [Prefs]NCEA_Princ_Not_Return_Sec

  • School > General > School Information for NCEA Reporting: Elements are reorganized under new panels; the explanatory text is added; fields are updated or added as noted.

      • School serves grades PK-12 or K-12 as a single school

    • Government Funded Programs

      • School receives Title I services: Explanatory text is added to indicate "If Title I services are not selected for the school, no students in the school can be reported as receiving Title I services."

      • School offers federal nutrition programs: Explanatory text is added to indicate "If federal nutrition programs are not selected for the school, no students in the school can be reported as receiving free/reduced lunch."

      • New field: All students in the school receive free/reduced lunch

        • Select this box if the school provides free/reduced lunch to all students regardless of income qualification.

        • All students will be automatically reported as receiving free/reduced lunch without the need to code students individually on the NCEA Student page.

      • The number of teachers who did not return for the current school year: Source field is unchanged (S_SCH_NCEA_X.Teacher_Not_Return).

  • Student > Information > NCEA Student Information

    • New explanatory text added “Has diagnosed disability” to indicate "Includes ADD/ADHD, Autism, Emotional/behavioral, hearing impairments, learning disabilities, physical disabilities, speech/language impairments, visual impairments".

    • The obsolete “Eligible for Title I Services” element is removed.

    • New logic for “Receives free/reduced meals” is implemented.

      • If the school-level setting for the federal nutrition program is not checked, no students can be flagged for free/reduced lunch, and the field displays “Not Offered.” The explanatory text indicates “School offers federal nutrition programs is not selected on the NCEA school page.”

      • If the school-level setting for “All students in the school receive free/reduced lunch” is checked, the field displays “Yes.” The explanatory text indicates “All students will be reported as receiving free/reduced lunch based on the NCEA school page setting.”

      • If the school offers federal nutrition, but the setting for “All students in the school receive free/reduced lunch” is not checked, the checkbox for “Receives free/reduced meals” is enabled and individual students can be selected as applicable.

    • Eligible for free/reduced meals: New explanatory text is added to indicate “Students whose household income is below the U.S. Department of Agriculture threshold should be selected as eligible for free or reduced-price lunch regardless of whether the school offers federal nutrition programs.”

Ed-Fi: The Ability to Publish Selected Students Prior to School Start Date

The Ability to Publish Selected Students Prior to School Start Date

With this State Reporting Update, a new check-box has been introduced under SE/EV Tab in the State Student Pages, which will allow users to publish the selected students to publish them to the State prior to the School Start Date.
The New check box is named as Publish SPED Student prior to School Start Date, if it is checked below student resources will get published:

  • Student Demographics.

  • Student Enrollments (Student School and Responsible Organization)

  • Student Special Education Program Association

Ed-Fi: Add an Option to Publish Data for the 22-23 School Year

Added an option to publishing data for the 2022-2023 school year for the following Ed-Fi profiles:

  • IN DOE 2 (Data Exchange)

  • IN DOE (InSite)

  • CHIRP

Ed-Fi: Students Excluded From State Reporting were getting published

For some Districts, there was an issue in which the students were getting published even if they were excluded from state reporting. This issue has been fixed with this state reporting update.

Ed-Fi: 2023 School Year Updates for Responsible Organizations (Part 2)

With this state reporting update, the below-mentioned publishing updates have been implemented for Student’s Responsible Organization:

  • Instructional Days and Instructional Minutes Fields have been added to the school enrollment record pages.

  • Instructional Days and Instructional Minutes will get published with the Student Education Organization Association (Responsible Organization) record and only for the students with the ADM Type (6) Dual Enrollment or (20) Adult Education.

  • Users can manually assign the values to the Instructional Days (S_IN_STU_X.Instructional_Days) and Instructional Minutes (S_IN_STU_X.Instructional_Minutes) fields. But if they are left blank then the below-mentioned logic will be followed:

    • If the Instructional Days are left blank, then the value will be pulled from the Entry and Exit Dates of the student’s enrollment and the in-session calendar days.

    • If the Instructional Minutes are left blank, then the value will be pulled from Course Enrollment Records, Periods that the student is enrolled in, and the bell schedule during the enrollment.

Ed-Fi: 2023 School Year Updates for Responsible Organizations (Part 1)

With this state reporting update, the below-mentioned publishing updates have been implemented for Student’s Responsible Organization:

  • One Student Education Organization Association (Responsible Organization) record will get generated for each school enrollment record.

  • The Responsible Organization Record will get published with a Begin Date and an End Date, they will be pulled from the Student’s School Enrollment Record’s Entry and Exit Date respectively.

  • If it is a future enrollment record, i.e., the Exit Date is a future date then the End Date will be published as Blank.

Ed-Fi: Publishing Logic Update for Course Transcripts when CourseAttemptResultType is "No grade awarded"

When CourseAttemptResultType is "No grade awarded", the below-mentioned updates are being implemented for the Course Transcripts publishing

  • FinalNumericGradeEarned will be published as Blank.

  • EarnedCredits and EarnedCreditType will not be published anymore.
